Job Description

The Raleigh Convention and Performing Arts Center (RCPAC) has an amazing team of people who operate four unique venues – Raleigh Convention Center, Martin Marietta Center for the Performing Arts, Red Hat Amphitheater, and Coastal Credit Union Music Park at Walnut Creek. Our goal is to shine and lead the way for others in our industry and provide exciting events to the City of Raleigh, including touring shows, concerts, unique conventions, festivals, and expos. This part-time Assistant Events Coordinator role is not only a great entry-level opportunity to gain real-world, hands-on experience, but is suitable for seasoned event specialists looking to sharpen their skills within our vibrant Convention Center events.
The position is responsible for being a liaison between clients, the public, and operational departments prior to and during events. The Assistant Events Coordinator is responsible for ensuring that facilities, equipment, physical setup, and personnel provided meet the requirements of the event and the client's contractual agreements. The Assistant Event Coordinator is also responsible for ensuring that move in, duration, and move out of events are executed in accordance with pre-arranged details and building policy. Assignments include the coordination and indirect supervision of support personnel and services. This position is part-time, in-person only – must be willing to work afternoons, nights, weekends, and holidays. Work hours are driven by the events schedule and coverage needed to support events

Duties and Responsibilities

  • Must be capable of prioritizing tasks when detailing multiple events simultaneously while maintaining high quality expectations.
  • Addresses complaints and resolves problems while remaining calm under pressure and maintaining exemplary customer service.
  • Coordinates with clientele as assigned to create production schedule and room layouts based upon event needs and revise as necessary.
  • Determines timing and event requirements based upon client requests and meet and enforce deadlines with limited supervision.
  • Calculates and provides clients estimates of potential costs incurred throughout planning process and execution of events.
  • Provides onsite coordination to ensure smooth execution of events, including real-time management and troubleshooting.
  • Ensures that setup of in-house and/or 3rd party equipment is in accordance with lease requirements and follows safety standards as related to fire and health codes.
  • Ability to relay time-sensitive information quickly and effectively to relevant parties.
  • Directs the work of contract personnel including, but not limited to ushers, security guards, caterers, and decorators, and indirectly supervises all event support staff.
  • May be assigned as secondary contact for large-scale events and conferences.
  • This position may require prolonged periods of standing and walking.

Typical Qualifications

Education and Experience
Bachelor's (4-year) college degree or equivalent. At least 3 year of relevant experience is required, preferably in a variety of event management areas and related work.
OR
An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.
Computer Skills
Strong skills in MS Word, Excel, Access, Power Point, outlook, and Internet Programs.
Preferred Qualifications

  • Experience in customer service, client relations, and hospitality with event coordination.
  • Ability to accomplish projects with limited supervision.
  • Capacity to manage multiple projects and work assignments from a variety of personnel.
Other Qualifications
Considerable knowledge of performing arts events and Broadway theatrical shows. Ability to establish and maintain effective working relationships with customers, major employers and the general public. Ability to translate goals into effective strategy and structure. Ability to effectively manage multiple priorities, with flexibility in meeting shifting demands. Excellent verbal and written communication skills.
