Description

The Department of Housing & Community Development is currently seeking a highly motivated candidate for the position of Executive Assistant. The primary purpose of this position is to serve as the Housing and Community Director’s administrative assistant, responsible for a myriad of critical administrative tasks in support of the day-to-day operations of the Director’s Office and the department. Additionally, this position will provide administrative support to senior managers who report to the Director.
The incumbent will manage a very active calendar; research and prepare required materials for meetings and conferences; ensuring that the Director and Senior Managers have adequate time to review such documents and be able to modify, if necessary. Also prepares various types of presentations using electronic and print media, specifically in developing MS PowerPoint presentations, etc. Performs a broad range of administrative support tasks and serves as administrative liaison with internal staff and external stakeholders, including city, county, and state officials. Assists with the preparation and monitoring of office budget and expenditures, implementing appropriate financial controls, as well as prepares financial reconciliations for the departmental P-card. Must have excellent written and oral communication skills.

Duties include but are not limited to

  • Conducting research and collecting data and providing professional analysis of programs and/or projects.
  • Providing office management and administrative functions in a fast paced environment, as well as assesses and devises office protocols to enhance office operations.
  • Presenting information and responding to requests from HCD sub-recipients and the general public.
  • Preparing, writing, and updating various reports, forecasts, analyses, and other documentation, as needed.
  • Supporting and working closely with others to ensure accuracy of information, serving as liaison to external departments, housing clients, and other constituents.

Qualifications, Special Certifications and Licenses

MINIMUM TRAINING AND EXPERIENCE:

  • High School Diploma or GED
  • Two years of advanced administrative support, customer service, and paraprofessional analytical work
  • An equivalent combination of training and experience (as approved by the department) may be used to meet the minimum qualifications of the classification
LICENSING, CERTIFICATIONS, and/or OTHER SPECIAL REQUIREMENTS:
  • None required
PREFERRED TRAINING AND EXPERIENCE:
  • Bachelor's degree in business/public administration or field related to assignment
  • Three year supporting top executives
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge (some combination of the following):
  • Proficient in software such as Microsoft Office Suite, RAPIDS, OnBase, etc.
  • General knowledge of mathematics and accounting principles
  • Knowledge of standard office equipment such as computers, telephones, copiers, fax machines, scanners, presentation easels, A/V equipment, and podiums
  • General knowledge of City rules, legal codes, and court procedures
  • Excellent grasp of the English language and grammar
Skills (some combination of the following):
  • Analyzing and aggregating data for complex issues
  • Preparing documents for workshops, conferences, and meetings
  • Customer service
  • Organizing files in a clear manner

PHYSICAL REQUIREMENTS AND WORKING ENVIRONMENT: Due to the nature of work assignments, incumbents must be able to perform detailed work on multiple, concurrent tasks, with frequent interruptions and under time constraint. The essential duties of this classification may require the ability to regularly work with hands and fingers, talk, hear, see, and use repetitive motions; frequently reach, balance, and stand; and occasionally stoop, crouch, walk, lift, feel, pull, grasp, and climb. In terms of the physical strength to perform the essential duties, this classification is considered to be sedentary (exerting up to 10 pounds of force occasionally, and a negligible amount of force frequently or constantly to move objects), but may differ based on area of focus. The working conditions may contain environmental hazards, depending on area of focus.
