JOB
Under general supervision, perform a wide range of permitting related and general office tasks in support of Department; type, file, process and distribute a variety of documents and correspondence; answer telephones and respond to requests for information; responsible for performing technical work in the review and processing departmental payments and providing counter assistance to the general public; and perform other duties as assigned. This position is a part of the Building Services portion of the Building & Community Services Department.DISTINGUISHING CHARACTERISTICS: This is a multi-incumbent classification and is the first of two levels in the series. It differs from the Building Operations Coordinator classification in that the Building Operations Coordinator typically performs budgetary and other more complex duties in support of the Director of Building & Community Services. Employee reports to the Building Operations Coordinator.

EXAMPLE OF DUTIES
The duties listed below represent the various types of work that may be performed. The omission of specific statements of duties does not exclude them if the work is related or a logical assignment to this class.Provides customer service activities, which includes: greeting customers, answering phones, responding to requests for information; receiving and sending emails. Accepts and processes permit applications checking for completeness. Ability to recognize basic components of building plans, site plans, and other related items. Provides technical support associated with permitting activities, which includes: coordinating public inquiries on development processes, codes, ordinances, and permit requirements; processing utility releases; maintaining logs for permit distribution and permit review turnaround times; scheduling and entering inspections.Performs financial activities in support of department activities, which includes: collecting permit, development, registration, and other miscellaneous fees; preparing daily deposit reports for Building Operations Coordinator to process, balancing cash drawer/ bags daily, generating revenue reports; performing other related activities. File documents, reports and correspondence for the department; maintain filing system and records; maintains permit applications by restocking at front counter. Processes mail daily. Operate a variety of office equipment including, computers, scanners, copiers, mail machine, facsimile machine; input and retrieve data and text; complete various reports.Respond to public inquires in a courteous manner; provide information concerning departmental operations and services; distribute and receive forms and documents related to departmental business; resolve complaints in an efficient and timely manner.Perform other duties as assigned.EMPLOYMENT STANDARDS: Knowledge of: Operations, services and activities of assigned department.General knowledge of City policies, procedures, services and activities.Gathering and analyzing information and making recommendations based on findings and in support of department goals. Pertinent Federal, State and local laws, codes and regulations.Basic principles and procedures of record keeping.Modern office procedures, methods and computer equipment.Basic practices of bookkeeping.Basic mathematical calculations.Methods and techniques of report preparation.Operational characteristics of modern office equipment and tools including a computer.Occupational hazards and standard safety practices.Ability to: Explain and enforce department policies and procedures.Operate a variety of modern office equipment in a safe and effective manner.Enter data with quality and efficiency. Maintain an efficient records management system.Type at a speed necessary for successful job performance.Understand and follow oral and written instructions.Perform in stressful situations and multitask. Communicate clearly and concisely, both orally and in writing.Establish and maintain effective working relationships with those contacted in the course of work.
