Community Engagement Coordinator

Permanent Full-time Position

Department: Administration

Date: October 22, 2024

Hours: Full-time 40 hours per wee

Salary: $14.72 - $29.66/hr

Reports to: Community Relations Manager

Grade: 8  


Position Summary

This position is responsible for organizing and executing city events, securing funding for all departments through grant writing, and managing any accepted or awarded grants. This position will also serve as a backup administrative assistant supporting city staff and the Prosecutor as needed. The ideal candidate will have strong organizational skills, exceptional written communication abilities, and a passion for community engagement.

 

ESSENTIAL FUNCTIONS & DUTIES

 

Event Coordination

 

  • Develop, coordinate, and manage the Official City Calendar, city-sponsored events (public meetings, festivals, and community gatherings), facility reservations (baseball fields, city hall meeting room, pavilions, etc.).
  • Coordinates set up for city meetings, use of equipment, and necessary city officials/personnel 
  • Manage event budgets, ensuring cost-effective solutions and adherence to budgetary constraints.
  • Coordinate volunteers and volunteer opportunities/projects
  • Communicate with vendors, sponsors, and community organizations to secure services and resources for events.
  • Develop promotional materials and strategies to increase community engagement and participation in events.

 

Grant Writing

  • Under the direction of the Community Relations Manager and the City Administrator:
  • Identify potential grant opportunities from local, state, and federal sources that align with city objectives.
  • Prepare compelling grant proposals that effectively communicate the city's goals and demonstrate community needs.
  • Oversee the implementation of accepted grants, ensuring compliance with funding requirements and reporting obligations.
  • Prepare and submit progress reports and financial statements to grantors as required.

 

Communication & Administrative Support (backup)

 

  • Provide support in Communication Management tasks:
  • Assist with the planning and execution of a Master Communication & Marketing Plan.
  • Work with City website’s Content Management System (CMS), social media, and print materials to reach city communication goals.
  • Provide support in administrative tasks, including scheduling, correspondence, and document management.
  • Point of contact to answer phones and greet visitors especially in relation to events, Parks & recreation; screen and direct calls to the appropriate office or person; provides information as requested; assist customers with completing forms.
  • Become and maintain a designated Notary Public and provide notary services to City residents, businesses and city officials.
  • Provide general administrative support for City Staff.
  • Back-up Prosecutor’s Assistant Duties:
  • Assist the Prosecutor’s office with legal documentation and administrative tasks as required.
  • Enter data to computer, including traffic citations, warrants, payments, and case dispositions.
  • Prepare and review the court docket and courtroom setup; attend all court sessions.
  • Monitor case files to ensure separation between court operational duties and the duties of the Prosecuting Attorney Assistant’s office. 
  • Performs other related duties as assigned.

 

Qualifications:

  • Bachelor’s degree in public administration, event management, communication, or a related field preferred.
  • Experience in event planning and/or grant writing is highly desirable.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent written and verbal communication skills, leadership, and interpersonal skills.
  • Proficient with Microsoft Office Suite, website content management systems, Adobe Creative Suite, and/or other creative design software systems.
  • Ability to work collaboratively with city staff, community members, and external partners.

·       Ability to be bonded.

·       Possess a valid Missouri motor vehicle operator’s license

 

Language Ability and Interpersonal Communication:

Ability to produce, analyze, categorize, advise and interpret a variety of data points and information such as demographic reports, news articles, research reports/charts, state statutes, municipal ordinances, procedures, guidelines and planning documents.

 

Judgment and Situational Reasoning Ability:

Ability to use functional reasoning and apply rational judgment in performing a wide array of work activities and interacting with a diversified group or audience.

 

Technical Skill Requirements:

Ability to operate, maneuver and/or steer equipment and machinery requiring simple but continuous adjustments, such as motor vehicle, golf cart/all-terrain vehicle, computer terminal, copier/scan/fax machine, digital camera, two-way radio, and telephone/smart phone.

 

Work Environment:

This position typically operates in a standard office environment but may require occasional evening and weekend work for events and meetings.
