CLARK Material Handling Company is Hiring a Receptionist/Clerical Assistant Near Lexington, KY

The Receptionist/Clerical Assistant will be the face of CLARK and the first impression of CLARK to visitors, suppliers, dealers, guests, and vendors. Duties will include receiving guests, answering the telephone and directing calls, greeting & assisting all guests, and visitors, as well as multitasking to assists other team members and departments in the accomplishment of their responsibilities by providing administrative duties that include data entry, scanning of documents as well as providing other clerical assistance to various departments as needed. Responsibilities also include office clerical support activites that can be preformed from the receptionist station. The position is expected to have the main CLARK phone line switchboard open and operating promptly at 8:00 a.m. and throughout the day until 5:00 p.m. Relief switchboard coverage will be provided for a one-hour lunch, as well as morning and afternoon break. Receives, records and disseminates to the appropriate person(s) all customer calls that are received. Will spend a large majority of time entering data into system and scanning documents. Essential Functions:Screen & welcome, check in and out and process visitors, confirming appointments and creating visitor badges.Assist as needed with various clerical tasks in various software programs such as Excel, Word, PowerPoint, ERP systems and scanning software.Maintain the safety and secutity of our facilitity using the security resources provided (camera’s, door buzzer system, safety alerts) Act as the point of reference for guests who need assistance or information and attend to their wishes and requirementsProfessionally answer a large volume of incoming phone calls and redirect calls accordingly.Coordinate the front desk coverage schedule utilizing the list of employees assigned as backup Maintain Visitor log systemCreate monthly employee newslettersResponsible for all aspects of the supply room, keeping inventory to ensure we maintain proper levels of stock on supplies and order supplies as needed. Responsible for all aspects of the mail room including postage, sorting, stamping and distributing all internal & external mail. Maintaining proper levels of stock on supplies as well as the UPS machine admin and daily report runs. Assist various departments with mailings including checks, promotional mass mailings, data entry, and other related projects. Assist the HR department with printing new hire onboarding documents, events and projects. Scheduling meetings, food trucks, & ordering lunch for meetings as neededAssist with the management of the neighborhood association board and invoicing. Perform all work with a high degree of accuracy and to keep pace with the flow of work.Enter and retrieve data from computer system.Resolve problems and discrepancies as they occur.Work on special projects as required.Support company policies and demonstrate concern for the success of the business. Minimum Qualifications:Must be reliable, friendly, energetic, must have a positive attitude, attention to detail and a great work ethic.Excellent phone & interpersonal communication and customer service skillsExcellent organizational skills with ability to prioritize dutiesMulti-tasked and detail oriented with ability to self-check for accuracyMust have excellent computer skills and be proficient with MS Office applications including Excel & Publisher1 – 3 years of related experience with proven abilities in the area of customer service and data entry.Ability to analyze customer calls and determine appropriate person to receive, as well as level of urgency.Be able to clearly communicate messages, questions and / or issues to others.Strong interpersonal skills with the ability to maintain professional attitude in dealing with a variety of people. Ability to handle confidential information. Highly organized, strong time management with the ability to prioritize. Multi line phone system experience. Professional manner at all times. Efficient computer skills using Microsoft Office and Excel Efficient & Accurate use of the 10 key pad Proven track record of dependability Must be able to work indefinately in the US without sponsorship Environmental/Physical Conditions:The incumbent is located in an office environment with regulated heating and cooling.
