Clayton County Office of Economic Development is Hiring an Administrative Assistant Near Jonesboro, GA

CLASSIFICATION TITLE: ADMINISTRATIVE ASSISTANT

PURPOSE OF CLASSIFICATION

The purpose of this classification is to provide administrative and complex clerical support to an assigned department. Administrative Coordinator duties and responsibilities include providing administrative support to ensure efficient operation of the office.

ESSENTIAL FUNCTIONS

The following duties are normal for this position. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Supports managers and employees through a variety of tasks related to organization and communication Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected.

Must maintain confidentiality on project information.

Maintain contact and databases, produce and distribute correspondence memos, letters, faxes and forms, assist in the preparation of regularly scheduled reports, maintain filing system, order office supplies, book travel arrangements, submit and reconcile expense reports, greet visitors and host guests during meetings, ordering, obtaining and setting up materials, snacks, beverages, food.

Carry out administrative duties such as filing, typing, copying, binding, and scanning. Handle sensitive information in a confidential manner. Receive, sort and distribute the mail. Pay invoices as required.

ADDITIONAL FUNCTIONS

Answer and direct phone calls, organize and schedule meetings and appointments. Provide information by answering questions and requests, research and creates presentations, generate reports, handle multiple projects, prepare and monitor invoices, maintain lobby area, desk, brochures etc., ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

Performs other related duties as required.

MINIMUM QUALIFICATIONS

High School Diploma or equivalent; minimum of one (1) year administrative experience, and computer software including Microsoft Office; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

ADA COMPLIANCE

Physical Ability: Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or work station.

Sensory Requirements: Some tasks require the ability to perceive and discriminate sounds and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Essential functions are regularly performed without exposure to adverse environmental conditions.
