Job Summary

The Spivey Hall Operations and Administration Manager (OAM) is responsible for overseeing the daily administrative operations of Spivey Hall, ensuring an exceptional experience for all patrons, performers, and staff. This role is key in the planning and execution of all events and activities. The OAM coordinates the work of all Spivey Hall departments, facilitates communications and information sharing, and supports Spivey Hall staff in designated areas. The OAM ensures the venue runs smoothly and maintains the highest professional standards. This role oversees the Patron Services team, including all front-of-house staff.
The OAM is key in securing Spivey Hall¿s reputation as we raise the institution's visibility in Atlanta, Georgia, and within the international music community. The ideal candidate for this role is a multitasker with a passion for the performing arts, an eye for detail, and strong people skills who executes with excellence. This position reports to the Spivey Hall Executive and Artistic Director.

Responsibilities

40% Administrative Oversight:

  • Working closely with all Spivey divisions, develop and implement administrative policies, procedures, and systems to enhance efficiency and allow smooth and highly professional operation and service.
  • Coordinate the work and administrative needs of Spivey departments, ensuring strong internal communications and enabling all divisions to operate at their highest level.
  • Maintain records and manage correspondence, ensuring timely and effective external communication.
  • Support the executive team and other divisions in their work with CSU offices, including HR and Finance, ensuring compliance with organizational policies and procedures.
  • Oversee HR functions, including searches and onboarding, employee record keeping, and compliance with labor laws and organizational policies.
  • During the absence of the Business Manager, assume duties in Spivey Hall's financial operations as needed; other duties are to be reduced to accommodate.

25% Patron Services Team Management and Supervision:

  • Ensure an exceptional experience for all Spivey Hall patrons by supervising the Patron Services team, including the PS Coordinator, and overseeing all front-of-house operations.
  • Ensure recruitment, training, and scheduling meet Spivey Hall's needs.
  • Prepare and manage budgets for the patron services division, including staffing, supplies, and equipment.
  • Implement and monitor customer service policies and procedures to enhance the patron experience.
  • Evaluate staff performance and provide ongoing feedback and development opportunities. Maintain accurate records of attendance, incidents, and all relevant data.
  • Monitor and report on key performance indicators, including patron satisfaction, staff performance, and operational efficiency.
  • Maintain the highest standards of customer service and safety.

20% Development support:

  • Provide support to the Executive and Artistic Director in fundraising efforts and donor relations.
  • Process donations and prepare acknowledgment letters and receipts; manage donor databases, ensuring accurate and up-to-date records.
  • Handle routine correspondence and donor inquiries promptly and professionally.
  • Coordinate scheduling and logistics for development events.
  • Grant support: as time allows, research funding opportunities, assist with the preparation and submission of grant proposals and reports, and maintain a calendar of deadlines.

15% Event Coordination and Customer Service:

  • Work closely with event organizers, technical staff, and other departments to coordinate logistics and ensure smooth operations for all events.
  • Liaise with event managers, vendors, and stakeholders to ensure all administrative aspects are covered.
  • Manage event-related documentation, contracts, and permits.
  • Ensure a high standard of customer service for patrons, artists, and other stakeholders.
  • Address and resolve customer inquiries and complaints promptly and professionally.Develop and implement customer service policies to enhance the patron experience.

Required Qualifications

  • A bachelor's degree is required, preferably in a related field (e.g., Management, Communications, Business Administration, the arts) or equivalent experience.
  • Five or more years of experience in an administrative role, preferably in a nonprofit setting, including office management and staff supervision.
  • Proficiency in Microsoft 365 and familiarity with donor management software (e.g., Patron Manager) are pluses.
  • Valid driver's license required.
