Performs intermediate technical work maintaining financial records and reports in computer system, processing accounts payable, ensuring that all regulations and procedures related to accounting matters are followed, maintaining appropriate records and files (Payable accounts), and related work as apparent or assigned. Work is performed under the moderate supervision of the Sr. Finance Accountant. The normal work schedule is Monday through Friday 8AM- 5PM.
Essential Functions:
Processes, codes, enters, audits, balances, merges, and scans invoices and statements for weekly and special check writes; ensuring bills are paid in a timely and accurate manner while adhering to departmental procedures.
Distributes mail; maintains filing and purchases orders; answers phone; assists public and other departmental employees.
Handles and balances petty cash.
Trains peers to back up and/or assist processing specialist accounts payable duties.
Boxes, prepares queries, and updates files monthly and at year end; prepares new year allotments.
Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling accounts
Analyzing workflow processes
Escheats balancing and yearly filing to state; Escheats stale dated checks at EOM
KNOWLEDGE, SKILLS AND ABILITIES:
Thorough knowledge of related industry, organization, and department policies, practices, and procedures; thorough knowledge of related industry, organization, and departmental legal guides, recommendations, best practices, ordinances, and laws; general knowledge of the principles and practices of a municipal purchasing system; ability to evaluate financial systems and efficiently formulate and install accounting methods, procedures, forms and records; ability to prepare informative financial reports; ability to make arithmetic computations using whole numbers, fractions, and decimals; ability to compute rates, ratios, and percentages; ability to understand and apply governmental accounting practices and maintenance of financial records; ability to establish and maintain effective working relationships with vendors, associates and the general public.
MINIMUM EXPERIENCE & EDUCATION:
Associates/Technical degree with coursework in accounting, finance, business administration, or related field and one to three years experience in accounting and payroll, or equivalent combination of education and experience.
PHYSICAL REQUIREMENTS:
This work requires the occasional exertion of up to 10 pounds of force; work regularly requires speaking or hearing, using hands to finger, handle or feel and repetitive motions, frequently requires sitting and occasionally requires standing, walking, reaching with hands and arms and lifting; work has standard vision requirements; vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; work requires preparing and analyzing written or computer data and observing general surroundings and activities; work is generally in a moderately noisy location (e.g. business office, light traffic).
