Job Title: Assistant Manager, Grants Services

Reports to: Director, Grant Services

Location: Remote

Job Status: Full-time, Exempt


Job Summary:

The Assistant Manager supports the grants team by assisting with managing and implementing the preparation, documentation, submission, and tracking of educational grants, as well as coordinating effective communication between internal and external stakeholders.

Responsibilities:
  • Work with assigned team to maintain oversight of the status of grants in the development process. Work with the Grant Director and educational strategy team to prioritize and manage grant submission timelines and grant/submission preparation.
  • Track budget, outcomes data reconciliation, and Transfer of Value reporting deadlines and input all needed materials for these deliverables into portal systems, including working with other departments when needed.
  • Support all partners in submission of all supporter materials (including, but not limited to, grants, budget reconciliations, outcomes, transfer of value reports, change of scopes).
  • Serve as one of the grant portal resident experts in navigating supporter grant submission requirements, timelines, and grant entry systems.
  • Maintain and update all required internal supporting technology systems (including, but not limited to, NetSuite and Salesforce) with grant submissions and any change to funding status.
  • Process Letters of Agreement, including record-keeping, processing contractual signatures, and booking sales.
  • Assisting in answering any queries from supporters and fostering excellent relationships with supporters and partners.
  • Performs other related duties as assigned

Managment
  • Provide oversight, guidance, and mentoring to the grant coordinator team: guide training, onboarding, and problem-solving.
  • Provide day-to-day mentoring.
  • With the support of the Associate Director approval of expense reports and requests for time off.
  • Working with Associate Director to identify and document performance gaps and provide training and, if required, timely performance improvement plans.
  • Write and conduct performance reviews under the guidance of the Associate Director.

  • Expertise in Microsoft office (PowerPoint, Word, Excel, Outlook, etc.) Experience in Salesforce or other financial tracking/CRM software) is preferred but not required

Education and Experience:
  • Undergraduate degree preferred
  • Prior experience in CME/CE or grant administration is preferred, but not required.
