Clinical Search Group, LLC is Hiring an Office Manager Near Pittsburgh, PA

Opportunity to join a truly disruptive medical device start-up company in Pittsburgh.

**Please note that this is an on-site role and that the office is located downtown near UPMC Presby/Magee-Womens and that candidates should be within commuting range**

In addition to base salary, the employer pays 100% of health, dental and vision insurance premiums.

General Summary

Reporting the Vice President Sales, the Office Manager is responsible for all activities in the Pittsburgh office as well as provide administrative supportive to all members in the Sales department. This individual is a highly organized and detail-oriented Office Manager to oversee our daily office operations. The ideal candidate will have strong experience with the Microsoft Office Suite and Salesforce, along with the physical ability to lift up to 50 pounds. This role requires a proactive individual who can manage administrative tasks, support various departments, and ensure the smooth running of our office. The successful candidate will be required to work on-site 5 days a week.

Key Responsibilities:

  • Oversee and coordinate daily office operations to ensure a smooth workflow
  • Maintain office supplies inventory, ordering new supplies as needed.
  • Ensure the office environment is clean, organized, and safe.
  • Handle phone calls, emails, and correspondence.
  • Schedule and coordinate meetings, appointments, and travel arrangements.
  • Prepare and distribute internal communications and reports.
  • Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) to create documents, spreadsheets, and presentations.
  • Manage and maintain data in Salesforce, ensuring accurate and up-to-date records
  • Ability to lift, move, and carry items up to 50 pounds, including office supplies and equipment.
  • Support staff with administrative tasks and projects as required.
  • Qualifications:
  • College/University Degree required, discipline in business or other relevant stream
  • Proven experience as an Office Manager, Administrative Assistant, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with Salesforce.com or similar CRM platforms
  • Excellent organizational and time-management skills
  • Strong written and verbal communication skills.
  • Detail-oriented and able to multitask effectively.
  • Highly adaptable, accountable, and independent worker
  • Strong relationship-building capabilities
