Coastal Tides Surgical Center is Hiring a Surgery Scheduler-Medical Receptionist Near Panama, FL

Essential Duties and Responsibilities:

Surgery Scheduler

  • Proficient user of computer systems with working knowledge of surgery scheduling computer applications
  • Schedule all surgical cases for assigned attending staff members.
  • Knowledge of cost implications and tracking of data related to surgical requests
  • Follow block schedule and ensure all cases are scheduled within those parameters.
  • Makes sound judgment when scheduling complex, highly technical and/or exploratory procedures that may require extra time, staff, equipment or be a potential for medical complications and create delays in the schedule if not properly scheduled.
  • Cross check all information to avoid conflicts in the schedule.
  • Manages the issues encountered when daily operational changes take place (add-ons, delays, emergencies)
  • Coordinate and ensure necessary equipment is ordered, room availability/scheduled, prior to scheduled procedure.
  • Receive and screen calls relating to problems that may arise due to date changes and any reasons for cancellation
  • Maintain medical records to ensure all pre-surgical forms, medical clearance documents, patient radiological exams and laboratory work is completed.
  • Review surgical and clinical forms for completeness and accuracy for all surgical procedures.
  • Ensures availability of treatment information by filing and retrieving patient records.
  • Obtains revenue by recording and updating financial information, recording and collecting patient charges.
  • Maintains operations by following policies and procedures, reporting needed changes.

Medical Receptionist

  • Serves patients by greeting them, answering routine questions, and maintaining records and accounts.
  • Welcomes patients and visitors in person or on the telephone and takes detailed messages as needed.
  • Uses practice management software (PMS), patient portal and appointment reminder systems, mobile applications, and other forms of technology to manage scheduling, interact with patients and providers, and update files and patients’ records.
  • Keeps patient appointments on schedule by notifying the provider of a patient’s arrival, reviewing service delivery compared to schedule, and reminding providers of service delays.
  • Maintains patient accounts by obtaining, recording, and updating personal and financial information.
  • Minimizes patients’ stress by anticipating their anxieties, answering questions, and maintaining a calm and orderly environment in the reception area.
  • Collects, sorts, distributes, or prepares mail, messages, or courier deliveries.
  • Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information.
  • Provides directions to the office to new patients, consulting practitioners, and vendors.
  • Maintains business office inventory and equipment by checking stock to determine inventory levels, anticipating needed supplies, placing and expediting orders for supplies, verifying receipt of supplies, scheduling equipment service and repairs, and overseeing the delivery of supplies.

Education:

  • High School Diploma or GED
  • One (1) year of medical office experience, preferably in an Ambulatory Surgery Center (ASC)
  • Ability to speak and understand the English language
  • Strong ethical and moral character references
  • Basic computer skills
  • Basic knowledge of ICD-10 and CPT coding
  • Strong organizational and interpersonal skills
  • Excellent customer service skills
