Coastal Villages Region Fund is Hiring a Human Resources; Vessel Operations Specialist Near Seattle, WA

Description

The primary job responsibilities include, but are not limited to, performing a variety of generalist human resource responsibilities with a strong focus on providing support to CVRF’s vessel operations. This position supports the HR Supervisor in the vessel recruiting process, maintaining accurate files, executing orientations, scheduling crewmember rotations, drug test administration, making travel arraignments, and ensuring crew member engagement.

PRIMARY RESPONSIBILITIES

Recruiting Function

  • Partner with vessel hiring managers, facilitates timely vessel crew recruitments for assigned vessels, and assists HR Supervisor with recruiting for all vessels.
  • Identify and attract quality applicants by developing advertising programs that utilize traditional and nontraditional resources (such as career fairs, online sources, community network events, recruiting outreach activities, etc.)
  • Determines applicant qualifications by studying job description and job requirements, and serves as an expert in recruiting candidates by screening resumes, assisting in interviewing candidates (by phone, video, or in person).
  • Monitors and maintains job postings and closes job requisitions when filled with applicant activity and updates.
  • Participates in interviews, conducts reference checks, and follows through on potential hires, and relays any reference concerns to Supervisor.
  • Compiles all paperwork involved during the recruitment process, including interview notes, authorizations, reference checks, pre-employment drug screenings, and background checks.
  • Enrolls employees in the workplace health system and assist employees with the screening process.

Human Resources Function

  • Initiate onboarding events and administers hiring paperwork and contracts to crew.
  • Facilitates vessel orientation and preparation for departure.
  • Books travel arrangements for crew members as needed, to include but not limited to air travel, ground transportation, and lodging.
  • Completes pre-/post-trip and season documentation for accounting and U.S. Coast Guard purposes.
  • Monitors crew member onboard expenses for payroll deduction.
  • Performs monthly reconciliation and coding of travel and business expenditures via Concur, and approves crewmember and business invoices for vessel expenses via PaperSave.
  • Assists in HRIS Administration tasks for crew support including verifying information of all new hires entered in the HRIS is accurate.
  • Avoids legal challenges by understanding current laws, and recommending or creating new procedures.
  • Helps develop new programs to better assist the needs of the HR department.
  • Assists in workplace investigations as needed.
  • Provides continual communication of all assigned vessel arrivals and departures with various departments (Payroll, Purchasing, IT).
  • Other duties as assigned.

Requirements

KNOWLEDGE & SKILL REQUIREMENTS

A high school diploma or GED equivalent and 2 years of previous general office experience is required. Previous Human Resources experience in Alaskan Fisheries is strongly preferred. Candidate must be outgoing and self-motivated with a strong desire to excel. Ideal candidates will possess the ability to represent the company in a professional manner and demonstrate strong verbal and written communication skills. Good working knowledge of Office 365 (specifically Excel, Word, and Outlook) is required, while experience with HRIS software is a plus. This position requires the willingness to learn, remain flexible, and work collaboratively within a team environment. A high regard for accuracy and attention to detail, along with strong organizational skills with the ability to prioritize multiple tasks to meet deadlines, is required. Must be patient and sensitive to cultural differences present in a diverse workforce. This position will be required to work occasional overtime in order to meet deadlines. This position requires the use of a company cell phone. Following onboarding, the employee will be added to the on-call rotation for vessel emergencies afterhours. 

PHYSICAL REQUIREMENTS

In order to successfully perform the duties of this position, the employee is regularly required to effectively remain in a stationary position for long periods of time, operate a computer and other office productivity machinery, communicate with others in person and over the phone, and move about inside an office. While performing the duties of this job, the employee is regularly required to lift and move in excess of 25lbs. The employee is required to stand; walk, stoop, kneel and crouch. Specific vision abilities required by the job include close vision, distance vision, depth perception, and the ability to adjust focus. This position also requires the ability to work in a constant state of alertness and in a safe manner. 

WORK ENVIRONMENT

Generally this position is performed in an office setting with exposure to computer screens and florescent lighting, and occasional visits to shipyard environments. It requires the regular use of a computer, keyboard, mouse, and multi-line telephone system. The noise level in the work environment is usually quiet. Travel to other rural communities, Anchorage, and other states may be required via aircraft of varying sizes. Some travel may require staying overnight.
