Cocktail Caravan is Hiring a Wedding & Event Coordinator Near Boulder, CO

This is not your average event coordinator role! Cocktail Caravan is a boutique beverage catering operation looking for an enthusiastic Wedding Event Coordinator to grow with us. The Coordinator role is part-time, contract position and will be responsible for the planning and execution of events as it relates to bar service, from the first planning conversation through service. Because our focus is on coordinating bar service, it is essential that our Wedding Event Coordinator have bar-related food and bev experience.

Events range from small, intimate dinner parties to large corporate events, and lots of weddings. A successful coordinator will create a positive experience for the client, presenting an extra organized and streamlined process by working closely with the founder, Sales Manager, Beverage Manager, Operations Manager, and bar staff. Candidate will play a key role in creating and maintaining client and vendor relationships, which are at the heart of our business. This role has the potential to expand and evolve the role as the business grows.

About You

You’re a hospitality/customer service professional who can charm anyone! With a background in the food and bev industry and strong management skills, you’re ready to bring your super organized skill set to our team to help us execute events. You’re used to managing your own deadlines efficiently and are ready to dive in head first to help client’s plan the bar for their events and get your hands dirty on-site at events. You’ll create such an amazing experience for our clients that they can’t wait to work with you again and tell everyone how amazing you are! The ideal candidate lives close to our Boulder headquarters.

Responsibilities

  • Own each event from the time the event is booked through service and be the primary on-site contact for events you plan, making appearances at most events.
  • Plan events with clients: Cover all event details related to bar service—providing the client with all the information they need to make well informed decisions about their events—offering suggestions to facilitate a smooth service.
  • Communicate, in great detail, all known aspects of events to the team for seamless experience from start to finish, completing event-related goals and tasks on time.
  • Keep detailed records of all event details, orders, up-sells, etc.
  • Coordinate logistics for events, including organizing event supplies, deliveries, etc.
  • Be well versed in all products and packages, policies, legal issues regarding sale and service of alcohol.
  • Handle planning and execution of occasional marketing events.
  • Build and maintain relationships with clients and vendors.
  • Manage bar staff, giving them the what they need to be at their best
  • Participate in networking events to build additional relationships and leads.
  • Coordinator is NOT responsible for sales, though up sells are encouraged

Skills

  • Serious attention to detail (very important) on paper, in communication, and visually (ie bar setup/aesthetic)
  • A deep love for customer service and innate desire to make the clients day and forge meaningful connections
  • Responsible, professional, and positive(!) in all instances
  • Self-motivated and comfortable working with little to no direction
  • Strong negotiation and interpersonal skills
  • Strong computer skills, familiarity with Tripleseat, Google Suite, Trello a bonus
  • Experience driving a trailer a bonus, though not required

Requirements

  • Five years of relevant food and beverage experience
  • Two years of event planning or hospitality management experience
  • Knowledge of local event scene a plus
  • Ability to work a flexible schedule that requires a more significant time investment during busy season
  • Previous experience working with brides and grooms
  • Reliable vehicle and clean driving record
  • Current TIPS certification or willingness to obtain before first day

Cocktail Caravan is a boutique beverage catering service with several one-of-a-kind traveling mobile bars that primarily serve the metro Boulder/Denver area. We create lasting memories based around unique bar programs and experiences at private events and meaningful connections with our clients and guests. Our goal is to go above and beyond for the client and their guests at each event, bringing enthusiasm and excitement, beautiful bar setups, and stunning cocktails. Details are the foundation for everything we do! We work hard and value working with others who are responsible go-getters that self-manage their tasks and time.

Compensation 

This is a part-time, contract position with hours that vary depending on the season. Compensation is made up of commission, some hourly, and gratuity. Mileage reimbursed for event visits. Estimated time commitment of 13 hours per week on average with pay ranging from $22,000 - $28,000 per year.
