Job Title: Construction Admin Coordinator

Duration: 12 Months

Location: Portland, OR – Hybrid

Description

We are the program project management team, we have 8 PMs and support a wide variety of programmatic project work. Our largest programs primary function is replacing 6,000 poles every year, this role would be directly supporting that effort.

Project Coordinator (PC) role to support the overhead FITNES program. This role is directly tied to 2 Project Managers (PM) and their overall management of the OH FITNES program, the PC will be dedicated to 1 PM specifically and will be directed on daily tasks by this person. This PC will manage an email box with RFI’s coming in constantly throughout the day, the PC will then direct the concern to the appropriate party – this could be any one of the following or others: stakeholders, permitting group, forms admin team, project manager, construction manager, contractor/s, management, etc. This PC will need to professionally and diplomatically communicate and find solutions to and follow up on any matters submitted in the RFI process. This PC will also have to be flexible as we develop a more formal RFI process and adapt as it is implemented. The PC will also be part of frequent meetings throughout the week, these take place on Teams, mandatory attendance is required for these meetings and participation is expected. This role has potential to grow beyond these preliminary duties as we learn more about what is needed in our program, this will be a collaborative process but initial duties will be as described above.

We are looking for a forward thinking, flexible, and dynamic person to help us grow this role and support the team get a very large program to a better operating state!

RESPONSABILITIES

  • This role would be supporting the PM running pole replacement work. This coordinator would be in charge with fielding and directing RFIs as they come in, coordinating with our administration team to move work forward, communicate with our permitting team and provide feedback on how things are going. The coordinator will work directly with 1 PM who will set expectations for day to day work. The coordinator will also be helping to work with company contractors and their work including quality, questions, RFIs, permitting, etc.
  • Daily interaction with a lead PM, weekly/bi-weekly interaction with hiring manager, limited interaction with project team, and daily interaction with admin and permitting teams.
  • Gaining access to our workorder management tools, learning all of the players and getting introductions, learning as much as possible about the challenges we have in the work and finding ways to support the work.
  • Learning company standards and all of the players, it can be a little overwhelming, but we will be supporting this person.
Requirements

REQUIREMENTS

Utilities experience required? - Strong preferred

2 years of experience in the field.

1. Technology, this role will be in Outlook all day, working in our system of record, and coordinating with team and contractors. Must have good comfort level with Excel and Microsoft Office Suite.

2. Interpersonal skills are a must. We have constant interactions with the greater project team. We need professional and diplomatic communication skills. This needs to be coupled with patience and understanding.

3. Willingness to follow up and ask questions over and over till you get the answers you need.
