Description
This position supports the Office of Student Development and contributes to overall policy and planning. This role is responsible for creating and revising systems and procedures, assembling and analyzing confidential information, and managing department records. The Office Coordinator may be responsible for attending meetings and coordinating follow-up actions. In addition, this role utilizes information systems in preparing reports and statistics, as well as conducts research and gathers information to support ongoing projects.
Major areas of responsibility:
  • Associate Vice President for Student Development/Dean of Students: Supports the AVP for Student Development's schedule to include calendar scheduling and maintenance; speaking engagement preparation; weekly meetings; special events and projects
  • Reception: Answers central phone; responds to email from central Student Development account; order and maintain office supplies
  • Calendars, scheduling, and individually-sponsored events for Office of Student Development staff: Schedules appointments; makes room reservations using EMS; orders catering; ensures room set-up prior to meetings; special event support (i.e. Summer kick off, holiday party, off-campus housing workshop)
  • Student Life Council:Organize monthly Council meetings to include scheduling; room reservations and A/V set-up; and minute taking
  • Budget management: Electronic reconciliation of receipts and expenditures for Office of Student Development staff
  • Student Support and Success: CARE meeting minutes; management of Student emergency aid requests
  • Judicial checks and Dean's Certification: Verify student standing upon request
  • Student compliance mandates: Follow-up with students on compliance mandates
  • Student Workers: Recruitment, hiring, training and supervision of student workers
  • Commencement: Provides general support to the VPSD Special Assistant as necessary, inclusive of responding to inquiries, cap and gown distribution, room reservations, on campus accommodations
  • DesMarais Scholarship: Manage the application, selection and award process
  • Presidential Service Award: Coordinates with the Office of the President to manage the nomination and selection process and awards.
  • Professional Development: attends and actively participates in divisional and college-wide professional development opportunities as appropriate; provides support for these events as requested
  • Travel: assists with travel arrangements for Office of Student Development staff as requested; reconcile expenditures
Minimum Qualifications
  • Associate Degree, 3-5 years of related experience
  • Technical Skills - Displays proficiency using standard office equipment such as a computer, fax, photocopier, scanner, etc.
  • Proficient in all Microsoft suite applications including Google Drive, Google Docs & Form, Word and Excel, PowerPoint, Access database structure, reporting and organizational chart creation.
  • PeopleSoft financial system, Event Management System (EMS), Kronos timekeeping, and Adaptive Budgeting System preferred
