Job Title: Administrative Assistant Child Nutrition Reports to: Director of Child Nutrition Dept/Campus: Child Nutrition Pay Grade: Paraprofessional - PG 3 Wage Status: Non-Exempt Days: 240 Primary PurposeProvide reception and clerical assistance for the efficient operation of the Child Nutrition office. QualificationsHigh school diploma or GED Special Knowledge/Skills
Ability to multitask
Ability to use personal computer and software
Proficient knowledge of MS Word and Excel software and file maintenance
Effective organization, communication and interpersonal skills
Ability to follow written and verbal instructions
Ability to operate multi-line phone system
Knowledge of food service operation a plus
ExperienceThree years clerical experience preferred Major Responsibilities And Duties
Assist people entering the office which might include accepting payments to student accounts or providing answers to application questions.
Provides clerical assistance to all professional office staff and campus cafeteria managers.
Receive, sort, and distribute various Child Nutrition Services mail daily.
Compiles appropriate incoming and outgoing supplies/mail to the campus daily.
Assist with preparation of materials for mailing/emailing.
Maintain employee database & filing system for Child Nutrition personnel.
Responsible for filing and maintaining all Child Nutrition Services administrative staff and cafeteria employee files.
Receive, sort, and file all vendor invoices.
Assists in preparing records for storage and/or destruction.
Responsible for the filing and recording of Brazos County Health Department inspection reports and for the request of yearly Health Permits.
Submits work orders for campus needs.
Maintains and orders office supplies.
Responsible for maintaining and ordering supply of cafeteria staff uniforms, distribution, and record keeping of these for bookkeeping purposes.
Assists in the Free/Reduced application process.
Assists in coordination of catering, fills out catering order forms and bills appropriate department.
Maintains physical and computerized files including mailing list, employee records, logs and office communication.
Keeps up-dated on office managerial skills and Child Nutrition information through seminars and workshops.
Assists in arrangements for Child Nutrition workshops.
Other duties as assigned by the Director of Child Nutrition Services.
