Position: Brokerage Assistant

Reports to: Director of Brokerage Assistants

Direct reports: None

Experience: Minimum of 3 years administrative support experience. Preferably in commercial real estate or related field.

Project/Client/Broker Management

• Listing Management: listing agreement and representation agreement preparation, and tracking, property file management, (hard copy and digital), vouchering transactions.
• Helps with the preparation of lease agreements, extensions, amendments
• Client Management: phone calls, correspondence
• Owner reporting
• Client database management

Marketing Management

• Works with brokers and Marketing Department on all property marketing materials
• Assists in preparation and coordination of property Open Houses
• Assists in preparation of property tours, including the creation of tour books

Market Research

• Research potential listing/buyer opportunities (local and regional)

Document Preparation

• Works with Marketing Department on Proposals/Packages
• Letters of Intent
• Purchase and Sale Agreements
• Lease Agreements, Extensions, Amendments
• Opinions of Value
• New listing maintenance

Knowledge and Skill

• Real estate principals
• Knowledge of basic office procedures
• Skilled in Adobe Acrobat Pro, Microsoft Word, Excel and Outlook
• The ability to work under pressure in a fast paced office, time management, communication and organizational skills
• Must be team oriented and self-motivated

Customer Satisfaction

• Assists Brokerage, Marketing and Accounting in document preparations, packaging and timely delivery.

Teamwork

• Display of a positive attitude while cooperatively working with the Brokerage, Marketing and Accounting teams
• Provides back-up for the front desk
