Colonial Parking is Hiring a Human Resources & Office Coordinator Near Washington, DC

Position Summary

Providing high-level support to Human Resources and Office by performing administrative and logistical tasks, conducting basic research, preparing various reports, ordering and addressing information requests. Provide Office Coordination functions for Corporate Office. Frequently handle information of a confidential nature.

Essential Duties and Responsibilities

  • Assist in meeting preparation, scheduling and communications, preparing agendas, recording minutes, and procuring and distributing meeting materials.
  • Coordinating employer-sponsored events, meetings, and activities 
  • Respond to internal and external HR related inquiries or requests and provide assistance as needed.
  • Redirect HR related calls or distribute correspondence to the appropriate person of the team.
  • Produce and submit reports on general HR activity
  • Assist in ad-hoc HR projects, like collection of employee feedback
  • Assist with logistical coordination, such as booking travel arrangements (flights, hotels, rental cars, etc.) at times.
  • Provide administrative support in the preparation of basic reports, newsletters as well as other general HR tasks.
  • Assist with communication and preparation of location opening & closing documents, including monitoring of checklists and follow-up with parties for data entry completion and communications.

Office Coordination Responsibilities:

  • Serve as point of contact for Corporate Office for building Property Management and various vendors that serve the headquarters’ unit.
  • Manage communication with Property Management regarding building announcements, scheduling repairs, and coordinating response efforts related to emergencies and natural disasters.
  • Manage Contract Cleaning vendor for Corporate Office services.
  • Manage vending machine contracts.
  • Manage and order office supplies and business cards for Corporate Office from Staples.
  • Code and process for payment all invoices for supplies ordered from Staples and vendor invoices.
  • Manage, order and maintain inventory of print products for Corporate Office.
  • Process FEDEX shipments for Corporate Office.
  • Assist in Corporate Office luncheons/meetings.
  • Assist in Corporate Office Special events/parties.
  • Responsible at all times for reviewing, understanding and acknowledging in writing when requested, the company provided policies and procedures that directly support completing my required work duties. 
  • Offer coverage for reception desk while incumbent is on lunch and or as needed.

Non-Essential Duties and Responsibilities

  • Other special projects as assigned.

Minimum Job Qualifications

  • High School Diploma at a minimum 
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite.
  • High level of attention to detail, organizational skills, and ability to multi-task
  • High degree of integrity and commitment to confidentiality
  • Knowledge of standard office administrative practices and procedures.
  • Excellent oral and written communications and comprehension skills are required.

Qualifications Desired

  • Associate degree or bachelor’s degree preferred.
  • Ability to learn quickly.
  • Ability to work at a fast pace.
  • Ability to interact with various levels of the organization and collaborate across departments.
  • Possesses strong follow-up.

Performance Standards

This position will receive an annual performance review from the department heads to discuss

actual performance compared to company-stated expectations as noted herein and agreed-upon job-related performance goals for the upcoming year.
