We are looking for a leader who will work tirelessly to foster a dynamic environment among our powerhouse administrative team! A day in the life:

  • Start the day by checking in with the team to help re-align any changing priorities, address any afterhours concerns or emergencies, and ensure everyone is in their seat and full of smiles.
  • Most of your days will be spent supporting the administrative staff and acting as a resource for them and others in the Service Department on the following tasks. There are no two days that look the same.
    • Manage the team’s PTO schedules, and occasionally act as a backup when someone is out.
    • Assist the sales team as they respond to requests for proposals or quotes, pull together prequalification documents or work through a customer proposal, maintenance or special requirements.
    • Support billing by helping source simple solutions to complex billing requirements or issues.
    • Work with the coordinators through scheduling dilemmas or customer requirements. Review open work order load and be a resource to assist in driving work to completion or to help source materials. Ensure they are not struggling to pre-schedule for the next day.
    • Assist with project setups and billings, especially for large or complex projects.
    • Meet with the Operations and Sales Leaders to ensure that the administrative team is meeting their expectations and fulfilling the needs of the field.
  • You will be the administrative voice alongside the General Manager, Operations and Sales Manager with ongoing improvements and adjustments to our processes to accommodate the needs of internal and external stakeholders
  • In addition to everything else, you will be responsible for the development of your team. You will be supporting and training them for new company initiatives and constantly searching for new ways to challenge them and help them grow.
  • Ensure everyone is celebrating wins every day.

You should have:

  • The ability to thrive in an ever-moving environment
  • A team player attitude, with a keen attention to detail
  • A good sense of humor
  • Calm, cool and collected presence in high-pressure situations
  • A minimum of 5 years of administrative management experience
  • Previous work experience in the commercial Construction or Building Service industry providing administrative support is preferred, but not required
  • Advanced proficiency in basic Microsoft Office Products (Outlook, Excel, Word) as well as Adobe/Bluebeam. 
  • Excellent organizational, prioritization and time management skills
  • Demonstrate Initiative; self-motivated (driven), self-starter
  • The ability to encourage thoroughness and establish and maintain expectations
