Organization: Colorado Veterinary Medical Association

Location: Denver, CO Day to day job function will be performed remotely. Occasional in person event participation required in Colorado.

Job Description:

As the Operations Manager at CVMA, you will play a pivotal role in ensuring the smooth and efficient functioning of our operations. You will be responsible for overseeing various administrative, HR, finance, database systems, contracting/procurement tasks, and supporting the overall mission of the organization.

Key Responsibilities:

Finance:

Manage the organization's budget and financial planning processes.

Coordinate with third party accounting firm to review month end finances, quarterly financial statements, and ongoing initiatives.

Monitor and analyze financial performance against budgetary targets. Prepare financial reports to present at regular board of directors' meetings.

Review and process accounts payable and accounts receivable transactions.

Oversee biweekly payroll processing.

Work closely with the CEO and Board of Directors on financial strategy and decision-making.

Systems Management

Oversee the day-to-day management of the organization's database system, ensuring its smooth operation and functionality.

Collaborate with vendor support to troubleshoot and resolve any technical issues related to the database system.

Evaluate and recommend enhancements or upgrades to the database system to improve efficiency and performance.

Provide training and support to staff members on how to effectively utilize the database system and integrate it with other technologies.

Stay informed about emerging trends and best practices in database management and technology integration.

Contracting/Procurement:

Identify and negotiate contracts with vendors, service providers, and suppliers.

Oversee the procurement process, including obtaining competitive bids and evaluating proposals.

Maintain relationships with key vendors and monitor contract performance.

Manage inventory and supplies to meet organizational needs efficiently.

Human Resources:

Manage the recruitment process, including drafting job descriptions, posting job openings, and conducting interviews.

Onboard new employees and oversee employee orientation programs.

Develop and implement HR policies and procedures, ensuring compliance with labor laws and regulations.

Handle employee relations issues and serve as a resource for staff regarding HR-related matters.

Implement performance management processes, including conducting performance reviews and providing feedback to employees.

Oversee employee training and development initiatives.

Administrative Tasks:

Oversee general administrative functions, including office management and equipment maintenance.

Coordinate meetings, events, and travel arrangements for staff and stakeholders.

Maintain organizational records and ensure documentation is up-to-date and easily accessible.

Support CEO with other administrative tasks as needed.

Qualifications:

Bachelor's degree in Business Administration, Human Resources, Finance, or a related field.

Proven experience in a similar role, preferably within the non-profit association sector.

Strong understanding of HR best practices, labor laws, and regulations.

Proficiency in financial management, budgeting, and financial reporting.

Excellent communication and interpersonal skills.

Strong organizational and multitasking abilities.

Attention to detail and a high level of accuracy.

Ability to work effectively both independently and as part of a team.

Proficiency in Microsoft Office Suite and experience with member or customer database system and accounting software is a plus.
