POSITION PROPERTIES
Human Resources Assistant
PURPOSE
This position works with a team of HR administrative personnel to coordinate and process employment and/or compensation paperwork and HRIS data management for approximately 2,700 district employees. In addition, may provide coordination and administrative support of designated employment and compensation programs to recruit, develop and retain highly qualified staff.
ESSENTIAL RESPONSIBILITIES AND DUTIES
15% Conduct pre-employment functions including verify candidate qualifications, calculate salary offers, create Letters of Intent, coordinate background screenings, schedule orientations and ensure professional verbal and written communication with candidates and hiring supervisors at all times.
15% Assist with ensuring a professional and effective orientation and on-boarding processes including preparing orientation packets, complete/approving new-hire paperwork, I-9 verifications, Kronos updates, and scanning of materials.
30% Responsible for Business Plus (HRIS system) employment updates and documentation of personnel changes such as new hires, re-hires, transfers, name changes, certification and education updates, contract management, separations, etc. Must ensure effective organizational skills and knowledge of database systems.
30% Responsible for Business Plus (HRIS system) compensation and funding updates and documentation including new assignments, FTE changes, location changes, account code changes, stipends, coaches pay, extra days pay, special payroll, and resignations. Ensure stakeholders are informed of changes impacting budgets and reporting requirements. Must ensure thorough understanding of how changes impact payroll processes, financial reports, grant reporting and CORE data reports.
10% Assist with coordinating and processing annual salary changes based on Board approved provisions. Communicate processes and policies, identify and resolve discrepancies, process increases and ensure deadlines are met. Work collaboratively with business services personnel to determine type of contracts to be sent, and updating tenure status and salary accordingly.
Perform other duties as necessary to support the mission and vision of Columbia Public School District.

QUALIFICATIONS
Minimum: High school diploma or equivalent, plus five years progressively responsible administrative experience.
Preferred: Ideal candidate will have experiences with HRIS systems or comparable database systems with a good understanding of human resource and payroll processes.
Previous work which demonstrates organizational skills, attention to detail, and ability to meet deadlines without supervision.
Ability to multi-task in a fast-paced environment is critical.
Professional and friendly demeanor with a demonstrated ability to work well with a variety of individuals while maintaining confidentiality.

Technology: Demonstrate strong computer skills including word processing, and working with spreadsheets and databases; understand and submit online reports; Learn new systems and software.
Other Skills: Demonstrate interpersonal skills and ability to work closely with a variety of staff members; Safeguard confidential information. Be a self-starter and work independently.
Physical Demands: While performing the duties of this position, an employee is regularly required to move about, talk, and hear; Close vision ability to look at a computer screen for long periods of time is required.
Attendance: Consistent and regular attendance is an essential function of this position.
Conditions and Environment: The work environment is consistent with a typical office environment; at times, many staff members may be present and speaking simultaneously.
