The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.Position Summary Reporting to the Senior Director of Student Affairs, the Associate Director of Student Services will be responsible for leading the planning and execution of P&S student ceremonies and events, including New Student Orientation, White Coat Ceremony, Steven Z. Miller Clinician Ceremony, Match Day, Honor Societies, Class Day and Graduation. In addition, the Associate Director will coordinate class specific meetings, workshops, and panels. As a leader on the Student Affairs team, the Associate Director of Student Affairs supervises the Administrative Coordinator in the Office of Student Affairs and contributes to the management of the Student Services Coordinator as needed. Responsibilities
Generate all communications related to all P&S student ceremonies and events, including letters, emails, digital signage, and website.
Coordinate all student and faculty prizes and awards, including financial payments, certificates, and announcements.
Leadership of all efforts around summer opportunities for first year students and international opportunities for senior students
Oversight of all international exchange agreements and facilitate P&S student placements in global electives and summer global experiences, including stipend generation and student international travel compliance.
Oversight of the International Program activities for VP&S students
Provide support for stipend processing for P&S medical students participating in research within P&S academic departments/institutes/centers.
Coordinate and manage information sessions annually for summer opportunities and dual degree programs in coordination with the student research.
Manage Student Leader Training Program.
Manage the Medical Spanish Elective Program.
Support the Director of Student Services in ad hoc requests for survey data, enrollment data, and in the general management and tracking of students as they move through the curriculum.
Oversee administrative management of data in the In/Out list, annual registrar correspondence, OASIS, AAMC SRS system
Additional student affairs and Office of Medical Education projects and events as assigned.
Minimum Qualifications
Bachelor’s degree or equivalent in education and experience, plus four (4) years related experience.
Preferred Qualifications
Experience in events production, student affairs or medical education a plus.
Other Requirements
Excellent interpersonal, writing, and communication skills are required.
Proficiency of Microsoft Office Suite, especially Microsoft Word and Excel
Ability to successfully prioritize multiple responsibilities and projects independently.
Strong sense of teamwork including the ability to establish and maintain strong relationships.
Ability to manage professional relations with various constituencies and represent programs, department, and institution in a positive manner will be expected
