Columbus Metropolitan Library is Hiring a Volunteer Services Manager - FT(40hr.) - Volunteer Services Near Columbus, OH

PURPOSE OF JOB

The Volunteer Services Manager is responsible for leading the planning, development, administration, and evaluation of the Volunteer Program for the effective recruitment and use of volunteer talents and interns.

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Plans, develops, coordinates and implements the volunteer program. Includes ongoing needs assessment, develops and monitors the Volunteer Services budget, volunteer procedures and manual, performs as liaison with staff to identify tasks and develop job descriptions, and ensures compliance with state and federal laws for volunteers.
  2. Leads the Volunteer Services unit and partners with other departments in the effective management of volunteer operations. Develops and maintains strong working relationships with library leadership, volunteer coordinators, external organizations and vendors.
  3. Develops, coaches and trains the Volunteer Services & Internship Coordinator. Sets individual performance measurements for the Coordinator and holds them accountable while cultivating engagement and trust in an inclusive environment. Responsibilities include managing, hiring, orienting and evaluating performance. 
  4. Models organizational values and exceptional customer service behaviors. 
  5. Develops marketing and recruiting strategies to attract and retain volunteers. Performs public speaking and networks through staff, current volunteers, and local volunteer organizations and agencies. Uses job boards, career fairs, employment events and other technical means to promote volunteer opportunities. Partners with the Talent Acquisition and Retention Manager as needed.
  6. Manages the volunteer and intern selection and placement process. Acts as a liaison with local social service and educational agencies. Utilizes a web-based volunteer management system to maintain a database of potential and active volunteers.
  7. Develops interview and selection procedures, responds to prospective volunteer inquiries, assists in screening potential volunteers, conducts background checks and ensures compliance, and assists branch volunteer coordinators in matching volunteers to a project or task, and schedules volunteer activities.
  8. Develops, implements, and administers training for volunteers, branch volunteer coordinators and staff, including the onboarding of all volunteers. Provides ongoing training and support for staff that work with and/or supervise volunteers.
  9. Monitors volunteer performance and assists supervisors with performance management, volunteer reassignments, problem-solving and terminations. Monitors and supervises volunteer activities in administrative departments, as needed.
  10. Develops and implements programs and methods to recognize the contributions and honor the service of volunteers Establishes methods of regular communication to share volunteer activities, library events and programming, and volunteer accomplishments.
  11. Evaluates effectiveness of the volunteer program. Maintains volunteer records and reporting, shares regular reports with leadership and conducts analytical studies showing value-added contributions of volunteer activities.
  12. Attends local, state and national conferences or meetings as required.
  13. Performs additional duties as assigned including serving on task forces, committees, etc.

QUALIFICATIONS AND REQUIREMENTS

  1. Bachelor’s Degree required
  2. 3-5 years' experience working with volunteer or similar program required. 
  3. Supervisory experience preferred.
  4. Extensive knowledge of volunteer administration principles and practices, recruitment, and program marketing techniques, ability to analyze data, necessary to manage a volunteer services program, especially in a library environment.
  5. Ability to relate well and build appropriate rapport and relationships with a variety of people in all levels of the organization, as well as people outside the organization. Uses diplomacy and tact and can diffuse even high-tension situations comfortably.
  6. Acts and makes decisions with the customer in mind using information gained from direct experience and data. Meets the expectations and requirements of external and internal customers.
  7. Ability to effectively present in a variety of formal settings - one on one, group, peers, direct reports, etc. Command attention and manage group process.
  8. Ability to operate library technology including personal computer, email, software programs (i.e. Windows/Microsoft Office) and other job-related equipment and systems.
  9. Ability to utilize reliable transportation to promptly report to job assignment and other locations, per job requirements.

WORKING CONDITIONS AND PHYSICAL DEMANDS

The work environment involves everyday risks or discomforts that require normal safety precautions typical of such places as offices, meeting and training rooms, libraries, and residences or commercial vehicles (e.g., use of safe workplace practices with office equipment, avoidance of trips and falls, observance of fire regulations and traffic signals, and/or working in moderate outdoor weather conditions).

Work requires minimal demand for physical effort.
