DepartmentJob Title:Reports ToPurchasing and Fleet Administrative Assistant Warehouse Purchasing and Logistics Supervisor Typical Work Hours8am 4:30pm, Monday Friday (overtime, early mornings, evenings, or weekends required as necessary) Pay Scale$18 to Start Position SummaryThe purchasing administrative assistant’s core responsibility is to assist and support the purchasing and logistics supervisor. This includes, but not is not limited to: writing and issuing POs to technicians and installers, placing orders, reviewing order accuracy, updating pricing for orders and inventory materials, digitally receiving orders, processing paperwork, dispatching jobsite deliveries, standing in for the supervisor as needed, and participating in all office-related tasks as designated by the supervisor / manager. Essential Functions And Responsibilities
Place orders for stock and job-specific materials
Calculate the cost of orders and post or forward invoices to the appropriate accounts
Review issued orders for line item and pricing accuracy
Digitally receive all orders placed by the department supervisor
Scan paperwork to the appropriate recipients/locations using a scanner/copier
Update and maintain the accuracy of inventory material costs
Monitor incoming and outgoing inventory materials for accurate job costing
Initiate and oversee monthly and/or yearly material bids with suppliers as needed
Work alongside the department supervisor to ensure stocked materials are current, efficient and cost-effective
Work with suppliers to schedule deliveries and resolve shortages, missed deliveries, or any other issues that may arise
Plan and dispatch local and statewide jobsite deliveries as needed
Stand in for the department supervisor as needed
Various other office tasks as assigned by the department supervisor / manager

Ability to pass pre-employment drug screen
Knowledge of, or ability to learn, federal and state purchasing standards and regulations
Strong ability to prioritize assignments and multitask while dealing with changing priorities
Energetic personality with a strong drive to succeed
Proficiency with standard office equipment such as a mouse and keyboard, copier, and calculator
Strong organizational and time management skills
Strong interpersonal skills
Basic math skills including the use of fractions, percentages, and/or ratios
Education And Experience
High School Diploma, GED or equivalent
Fluent comprehension of written and spoken English language
Prior work experience operating a computer
Prior work experience navigating pricing / purchasing strongly preferred
Experience working in HVAC industry or familiarity with industry knowledge and standards preferred
Experience working with commonplace HVAC materials preferred
Previous experience navigating accounting and purchasing software preferred
