The Office of Vocational Rehabilitation empowers individuals with disabilities to maximize employment, achieve economic self-sufficiency and independence, and to contribute back to society. We also help businesses and employers recruit, retain and accommodate employees with disabilities.
We are seeking an Administrative Specialist to provide professional support in the review, evaluation, development, and implementation of the agency’s activities; performs other duties as required.
Key Responsibilities
  • Provides professional support to Voc Rehab Counselors on plan implementation & casework processes. Sets up & maintains caseload files in order to track consumer data, including new applications. Records & tracks new referrals, requests records using releases & archives closed caseload files to ensure compliance with regulations.
  • Using the Caseload Management System (CMS), creates and pays authorizations for consumers' services to ensure compliance with Office of Vocational Rehabilitation (OVR) policies as well as state and federal regulations. Ensures proper expenditure codes and budget units are used.
  • Serves as the primary contact for consumers, customers and vendors in the provision of basic program services information, eligibility requirements, accessibility and disability awareness. Answers general questions and schedules appointments for the consumers as needed. Answers multi-line phone system and schedules appointments for the counselors.
  • Enters information into CMS and generates reports to assist counselors with caseload management.
  • Participates in the development of process improvements in the provision of services. Reviews, compiles and/or prepares operational records and reports for compliance.
  • Performs other duties as required.

Minimum RequirementsEDUCATION: Graduate of a college or university with a bachelor's degree.
EXPERIENCE, TRAINING, OR SKILLS: One year of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
