Commonwealth of VA Careers is Hiring an Administrative Assistant - Turner Place Near Blacksburg, VA

Job Description

Provides administrative support for Turner Place at Lavery Hall and reports to the Assistant Director. Duties include answering phones, message delivery, scheduling meetings, ordering supplies, processing mail, copying, and processing administrative documents. Responsible for physical and digital file establishment, maintenance, and handling. Also responsible for human resources administrative duties such as employment paperwork and electronic documentation. Maintains confidential employee files. Works with Student Affairs Human Resources (SAHR) and VT Main Human Resources office for employment paperwork and electronic documentation during hiring process. Responsible for entering initial Worker's Compensation reports; processing salary leave reports, wage payroll and files. Reconciles time worked, payroll and leave reports. Supervises Cash Office Supervisor and prepares daily deposits and credit card log, as needed, in their absence. Maintains communication channels and professional office environment. Receives visitors and employees in a courteous manner and ensures customer satisfaction.

Required Qualifications

• Previous office administration experience with evidence of processing complex reports, spreadsheets, invoices, payroll/leave administration, handling confidential material, and confidential personnel file maintenance.
• Knowledge of standard office communications and procedures.
• Strong bookkeeping and word processing skills with emphasis on efficiency, accuracy, and organization.
• Excellent customer service and communications skills with a diverse group of people in a friendly courteous manner.
• Ability to work independently with little supervision, prioritizes work, and performs multiple functions simultaneously.
• Demonstrated ability to operate within a team-based environment.
• Demonstrated knowledge of computers including Windows, Microsoft Suite, Outlook, and Zoom

Preferred Qualifications

• Experience and knowledge with automated accounting, automated payroll and automated inventory systems.
• Experience preparing deposits, and processing related paperwork.
• Experience in a food service operation desired.

Work Schedule: Monday-Friday 8:00am - 4:30pm and as needed for good customer service

The successful candidate will be required to have a criminal conviction check as well as a driving check with a safe driving record.
