Job Duties

The VMI Office of Career Services is seeking candidates for a full-time Office Manager/Administrative Assistant position. This position reports to the Director of Career Services and provides planning and coordination of business management, event management, administrative, and support services for the office.
Job Duties:
• Greet and assist all incoming visitors in a friendly and welcoming manner and direct them to appropriate office resources.
• Coordinate on-Post employer recruitment program, career fair events, and related employer services.
• Provide management for office online technology applications such as Handshake.
• Manage event planning logistics and implementation.
• Coordinate the career resources materials, both print and on-line.
• Manage annual data collection efforts for the office.
• Assist with coordination of the cadet assistant work duties.
• Maintains confidentiality of student records per university policy, and local, state, and federal laws
• Oversees incoming phone and e-mail communication.
• Assist with office assessment activities.
• Other duties as assigned.

Minimum Qualifications

• Experience with Microsoft Office Suite, particularly Microsoft Excel and Microsoft Outlook
• Experience in budget administration, including calculating and reconciling budgets.
• Experience in organizing data and establishing and maintaining files in automated and paper formats.
• Ability to conduct research, prepare summaries of findings, and develop recommendations.
• Ability to compose and prepare correspondence and complete reports and forms.
• Ability to plan and schedule administrative support for programs and events.

Additional Considerations

• College level coursework, especially in accounting and business, or equivalent applicable experience or training.
• Experience with event management, including logistics and implementation.
