Commonwealth Trust Company is Hiring an Accounts Payable/Receivable Assistant Near Wilmington, DE

POSITION TITLE: Accounts Payable/Receivable Assistant
DEPARTMENT: Administration

REPORTS TO: Chief Financial Officer
FUNCTION: The Accounts Payable/Receivable Assistant obtains revenue and pays invoices by verifying
and completing payable and receivable transactions. This position assists in the client billing process,
issues credit memos and collection letters, updates Practice, and assists with Administration for online
banking.
ESSENTIAL DUTIES & RESPONSIBILITIES (including, but not limited to):

  • Prepares, sends, scans and saves to appropriate folder the annual client billings.
  • Assists with payment of CTC operating invoices by verifying transaction information,
scheduling/preparing disbursements and obtaining authorization of payment.
  • Obtains revenue by verifying transaction information, computing charges and refunds, preparing

and e-mailing/mailing invoices, issuing credit memos, identifying delinquent accounts and
insufficient payments, and updating the Practice system with this information.

  • Collects revenue by preparing collection letters for delinquent accounts.
  • Updates cash receipts in Practice, updates the associated spreadsheet and sends information to
Trust Administrators. Enters cash receipts into Bookkeeping.
  • Assists with the preparation of financial reports by collecting, analyzing, and summarizing account
information and trends.
  • Maintains financial security by following internal accounting controls.
  • Maintains financial historical records by electronically saving and filing accounting documents.
  • Assists the CFO with accounting or billing responsibilities as needed.
  • Completes special projects as assigned.

LEADERSHIP & SUPERVISORY RESPONSIBILTIES: This position has leadership responsibility within the
organization through organizational and communication-based activities inherent in the job duties and
responsibilities. While there are no direct reports, this role may provide procedural direction and support
to employees on functional tasks and activities.

EDUCATIONAL BACKGROUND & EXPERIENCE REQUIRED:

  • Must have a high school diploma; associate or bachelor’s degree in accounting preferred
  • Must have some experience working in accounts receivable and/or payable. More than 3 years’
experience preferred, experience in a banking or trust environment preferred.
  • Must have advanced knowledge of Microsoft Excel, and Intermediate knowledge of other
Microsoft Office applications.
  • Must have prior experience with Accounting, Financial or Bookkeeping Software

OTHER REQUIREMENTS:

  • Must be detail oriented and have strong problem-solving skills.
  • Must be able to communicate effectively and professionally, both orally and in writing.
  • Demonstrates an excellent work ethic, high standards, integrity and understanding of the
importance of confidentiality.
  • Works effectively with other team members and departments and functions well with
independent responsibilities.
  • Must have excellent organizational skills.
  • Must have the ability to learn and master new technologies quickly.
• Must be able to analyze, refine and document internal processes and procedures for others to

follow.

PHYSICAL REQUIREMENTS:
• Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
