Position: SUPPORT SPECIALISTSupervised by: Energy & Weatherization Manager

Location: Main Office - Pendleton
Salary: $3,634/month

Position OverviewThe Support Specialist is responsible for developing, coordinating and maintaining a comprehensive system to manage a smooth work flow that will allow for timely and accurate processing of client applications, billings, assigns work orders to contractors and generate reports to manager, director and funders upon request.
Essential Job FunctionsAn employee in this position may be called upon to do any or all the following essential functions. These examples do not include all the duties which the employee may be expected to perform. Other duties, responsibilities and activities may change or be assigned at any time with or without notice. To perform this job successfully, an individual must be able to perform each essential function satisfactorily with or without reasonable accommodation.
  • Conduct detailed confidential eligibility assessments for various grants and programs.
  • Determine household eligibility, create client files and maintain an accurate up-to-date client waiting list.
  • Maintain files on contractors and vendors ensuring each meet grant requirements.
  • Create accurate work orders that reflect auditors suggested scope of work for energy conservation to resident homes.
  • Prepare documents for audits and inspections.
  • Monitor all post inspections to confirm that all measures have been installed prior to submitting to Manager for approval.
  • Prepare detailed written materials including status of work orders, reports and analysis as requested.
  • Prepare billings for department approval by reviewing submitted invoices against work orders.
  • Answer telephone, refers callers to the appropriate staff member for assistance, and provides information to callers for all departmental programs.
  • Sorts mail and distributes to the appropriate staff member.
  • Maintain excellent rapport with residents, funders, contractors and community partners.
  • Attend trainings, meetings and outreach events as needed or requested.
  • Performs all other duties as assigned

  • Associate degree in related field which can be substituted for two years of comparable experience and/or training or equivalent combination of education and experience.
  • Have excellent interpersonal, written and oral communication skills.
  • Be proficient in Microsoft Office applications.
  • Must be very organized and possess excellent filing skills.
  • Have the ability to multi-task, prioritize duties and meet deadlines.
WORK ENVIRONMENT AND PHYSICAL DEMANDSThe physical demand and work environment characteristics described here are representative of those an employee encounters while performing the essential functions of the job.
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to bend, kneel and crouch. Specific vision abilities required by this job include close vision and distance vision. The noise level in the work environment is usually moderate. The employee must occasionally lift, and/or carry/move objects up to 25 pounds.
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, smart phones, photocopiers/scanners, shredders and filing cabinets.
Special Requirements
  • Must pass a criminal history background investigation; however, a conviction of a crime may not necessarily disqualify an individual from this position.
  • CAPECO is a drug free workplace and pre-employment drug screening will be required.
  • Possession of or ability to obtain a valid Driver’s License and insurable driving record is required.
  • Travel required within the service area. Occasional out of town or overnight travel. Travel may require the use of a personal vehicle. Mileage for the business-related use of a personal vehicle will be reimbursed at the standard mileage rate as published per IRS guidelines.
