Community Housing Developers is Hiring an On-Site Property Manager Near Santa Clara, CA

Location: Summerset Apartments (2151 Main Street, Santa Clara, CA 95050) - would have to live at property (3-bedroom)

Company: Community Housing Developers, Inc.

Office Hours: M-F, 8 AM to 5 PM must be available for after-hours emergencies, some evenings and weekend hours required.

Job Duration: Unrestricted, at-will

Job Summary:

Onsite property managers must live on site and are responsible for the day-to-day operations of their designated apartment complex. To ensure that the property is safe and properly maintained, onsite managers routinely inspect the grounds, facilities, and equipment (including but not limited to streets, parking lots, laundry rooms, dumpsters, dumpster areas, common areas, community rooms, sidewalks, stairways, pool areas, etc.) to determine whether repairs or maintenance are needed. In handling requests for repairs or trying to resolve complaints, they must investigate to collect all supporting evidence, document the incident, and work with the tenants and office staff to resolve the issues.

Onsite managers are also responsible for enforcing the terms of rental or lease agreements, such as rent collection, parking and pet restrictions, and termination-of-lease procedures. Other important duties of onsite managers include keeping accurate, up-to-date records of maintenance requests, vendor work, visitors, and routine work on the property.

In addition to fulfilling these duties, property managers must understand and comply with provisions of legislation, such as the Americans with Disabilities Act and the Federal Fair Housing Amendment Act, as well as local fair housing laws. They must ensure that their renting and advertising practices are not discriminatory and that the property itself complies with all local, state, and federal regulations and building codes.

Principal Duties

Onsite Manager Duties:

  • Consistently during work hours, walk the property to make sure there are no health and safety issues, the property is free from trash, and maintain laundry rooms (wipe down, sweep, mop), etc.
  • Verify conditions of vacant units and note lease violations on the property.

Maintenance Related Duties:

  • Supervise maintenance technicians when they are on the property by showing them the location of the issue, reviewing their work, and confirming their work.
  • Respond to and address maintenance issues by examining the issues and providing details to the maintenance department so that they can appropriately respond.
  • Track maintenance issues to ensure timely and appropriate responses were made.
  • Audit open work order logs provided on Monday of each week to ensure all issues are tracked.

Tenant Related Duties:

  • Act as a liaison between the management firm operating on the Owner's behalf and tenants.
  • Show property and units to prospective tenants.
  • Investigate and resolve complaints from residents and tenants when services are not properly provided.
  • Perform annual unit inspections.
  • Perform move-in and move-out processes.
  • Distribute correspondences, lease violations, 3-day notices, and other tenant-related notices.

Vendor Related Duties:

  • Monitor the performance of contractors.
  • From time to time, purchase supplies for the property and make arrangements with specialists for repairs that cannot be handled by regular property maintenance staff, which requires contacting vendors to quote ONLY but not authorizing the work until office staff has reviewed and procured approval through the vendor approval process.

Misc. and Administrative Duties:

  • Advise heads of the property management team of ways to improve the property or services to the tenants.
  • Complete weekly reports and submit them by Wednesday of each week.
  • Complete incident reports.
  • Report to the office weekly to file or assist on minor projects related to your property.
  • Perform any and all functions requested by those you report to.

Knowledge, Skills, and Abilities:

  • At least 4 years of experience in residential property management
  • High School Diploma or equivalency certificate.
  • Valid Driver’s License and insured operable vehicle.
  • Proficient in speaking, reading, and writing English.
  • Ability to do light cleaning, including but not limited to; sweeping, mopping, throwing out garbage, vacuuming, spot cleaning, maintaining the office, breaking down furniture illegally dumped.
  • A commitment to excellence in service delivery and facility management.
  • Experience supervising staff required.
  • Ability to support CHD's policies and procedures.
  • Ability to manage confidential information appropriately.
  • Excellent interpersonal and business communication skills, both written and verbal.
  • Proven conflict resolution skills.
  • Ability and willingness to maintain and provide a high level of customer service.
  • Ability to work independently and follow instructions with minimum supervision.
  • High level of organization, attention to detail, and ability to complete tasks.
  • Basic computer skills including word processing, databases, and spreadsheets.
  • Ability to work with staff, tenants, and community members from diverse backgrounds.
  • Bilingual in Spanish is a plus.
