Community Services Agency is Hiring an Administrative Assistant Near Reno, NV

JOB SUMMARY

The Administrative Assistant is responsible for providing administrative and clerical support to multiple Agency programs with a focus on the Workforce Development and Weatherization Assistance programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Answers the telephone; provides accurate information and/or forwards calls to

appropriate staff; greets and assists office visitors;

  • Provides customers with internal and external resource referrals;
  • Assists Agency personnel with internal and external resource referrals;
  • Communicates and interacts with program participants and staff; processes paperwork; maintains records and files, schedules appointments and meetings; and prepares related correspondence and reports;
  • Assists potential program participants with application and prescreen process, including the collection of necessary intake documentation;
  • Creates and maintains files for in-progress program applications; maintains files and communicates with customers to obtain needed documentation for qualification;
  • Assists with the management and maintenance of program waitlists;
  • Supports program follow-up activities including ongoing contact with exited program participants, collection of required follow-up documentation, and distribution of satisfaction surveys.
  • Types, prepares and/or proofreads routine correspondence, reports, etc.;
  • Performs other clerical work as required, including but not limited to copying and filing documents, receiving and distributing mail, preparing outgoing mail, assembling materials, etc.;
  • Assists with the training of new personnel in routine office procedures; attends staff meetings and in-service training as required;
  • Maintains a neat and orderly office environment;
  • Maintains supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies;
  • Collects and enters data into various Management Information Systems (MIS); assists program managers with collection and analysis of data for required reporting;.
  • Performs other duties as may be assigned.

JOB REQUIREMENTS/SKILLS

  • Professional demeanor, good organizational skills, and high attention to detail.
  • Ability to maintain effective relationships with others.
  • Ability to work with a diverse population in an effective manner
  • Proficiency with Microsoft Office; knowledge of recordkeeping and report preparation.
  • Ability to operate standard office equipment, including a multi-line telephone.
  • Bilingual (Spanish) candidates strongly preferred.

EDUCATION AND EXPERIENCE

High school diploma or equivalent and previous experience in an office setting; nonprofit experience preferred.

PHYSICAL DEMANDS

Requires the ability to exert some physical effort, such as walking, standing and light lifting; minimal dexterity in the use of fingers, limbs and body in the operation of the office equipment; may require extended periods of time at a computer.
