Compass Family Services is Hiring a Bilingual Office Manager / Receptionist Near San Francisco, CA

About the organization: Compass Family Services is a 100 year old nonprofit working on the front lines of San Francisco’s homeless crisis. We provide families experiencing or at risk of homelessness with comprehensive support to address immediate needs and ensure long-term success.

About the program: Compass Children’s Center (CCC) is an early childhood education center with a curriculum tailored to meet the specific needs of children experiencing poverty and homelessness. The Center serves 70 children, ages 0-5, and their families each day, and addresses the social, emotional, cognitive, and physical development of the children, as well as the functioning and well-being of the families.

Compensation: $25-$30 hourly based on experience, language, education and credentials

Location: 144 Leavenworth St, San Francisco (Tenderloin neighborhood)

Schedule: Full time, Monday - Friday, 7:45am - 4:15pm

What the Office Manager / Receptionist will do: The Office Manager/Receptionist is the first point of contact for families and other visitors coming to CCC. They greet families and children each morning, maintain the safety and security of our space, provide families with updates and resources, and provide administrative support to the management team.

Specific responsibilities include:

  • Greet all children, families and other visitors as they enter the building.
  • Answer phone calls and triage phone messages sent to the main CCC phone line.
  • Provide clerical support for CCC management team, such as sorting mail, contacting messenger services, copying, placing orders for supplies, filing, and helping with meal count reconciliation.
  • Remind parents of pending appointments, as well as upcoming events at CCC, Compass, and in the community.
  • Assist teachers and administrative staff in collecting signatures on necessary documents from families in a timely manner.
  • Assist in communicating with families about school illness policies, contacting parents when their child needs to be picked up due to illness or other emergencies.
  • Maintain up to date information in our electronic sign in/out system (Care Connect), ensuring consistent sign-in/sign-out procedures for families.
  • Maintain daily attendance logs with accurate attendance information, and ensure the collection of doctors’ notes and parent notes for scanning and submission to the SFELA enrollment specialist monthly.
  • Verify the accuracy of individuals listed for pick-up, including ID checks and contact families for authorization as needed.
  • Maintain logs for late drop-offs and late pick-ups, ensuring punctuality for families based on individual contract hours. Communicate promptly with teachers and staff regarding any updates from families, including making phone calls to families as necessary.
  • Assist with monthly meal reconciliation for both Compass Children’s Center and Compass Clara House.
  • Ensure accurate maintenance of purchase records for both classrooms and general school expenses. Input credit card data into the banking portal weekly.
  • Provide translation services for both formal and informal parent meetings as needed. Assist in translating documents for staff and administration.
  • Maintain a clear drop-off/pick-up area for families, especially during peak hours. This will include calling in illegally parked cars for ticketing. Monitor entry area for potentially unsafe situations, and alert CCC managers or the authorities as needed.
  • Assist the Family and Community Engagement Coordinator in maintaining an up-to-date monthly family request log and ensure that requests are promptly forwarded.
  • Coordinate with Site Supervisors regarding transportation to the classroom for children with alternative late drop-off times, such as those enrolled in Special Day Classes at SFUSD.
  • Maintain CCC donations area, ensuring donated items meet specified criteria. Coordinate any overflow of items to be sorted and donated to surrounding programs, such as St. Anthony’s.
  • Update and maintain informational bulletin boards with resources and information for families.

Qualifications:

  • Spanish and English fluency required
  • One year of receptionist or similar customer service experience
  • Knowledge of Microsoft Office and professional telephone protocol
  • Desire to work with families experiencing and at-risk of homelessness
  • Ability to interact with families and children with patience and in a positive, friendly manner
  • Demonstrated commitment to diversity, equity, inclusion and belonging work

Compensation and Benefits:

  • Salary range: $20 - $25 based on experience and education
  • Paid time off: 4 weeks of vacation your first year, 5 in your second. Also paid holidays, sick time, time off for education, family leave.
  • Insurance: health, dental and vision insurance are fully covered by Compass for employees and dependent children.
  • Retirement: after one year of work, Compass contributes an amount equal to 5% of your salary into a retirement account; this vests during years 2-5.
