What are we looking for in an Administrative Assistant for Human Resources?
The Administrative Assistant provides administrative and clerical support to members of the Human Resources team to ensure the department operations function smoothly. This role will assist with basic HR needs like responding to requests for employment verifications, tracking performance evaluations, reporting staff changes to appropriate agencies, completing procurements, reconciling credit account statements, and other related tasks. This position is best suited to a self-motivated individual who has a collaborative attitude, excellent interpersonal skills, and the ability to prioritize multiple obligations. This position requires exceptional communication skills, professionalism, and attention to detail. The HR Administrative Assistant is a temporary position expected to last until approximately September 15, 2024 .
Administrative Assistant duties include:
  • creating procurements and obtaining necessary signatures, submitting to Accounts Payable, maintaining records of submissions, and following up on any past due invoices
  • soliciting and compiling employee of the month recognition program nominations, publishing monthly list of nominees, and distributing prize and certificate to winner
  • maintaining tuition reimbursement program to include receiving documentation from staff and submitting for payment, updating payback agreements, and providing program information upon request
  • completing monthly exclusion queries and associated reporting
  • verifying details on business card requests, placing orders, and distributing to staff
  • monitoring credential renewals, sending payback agreements to employees for fee reimbursement, and completing required data entry
  • reconciling credit card statement monthly and processing for payment
  • monitor performance management due dates, distribute evaluation tools to supervisors, and track completion
  • assisting with other general clerical and administrative tasks as requested
Qualifications:
  • Associate degree in business administration or related field
  • One year of experience related to human resources
  • Proficiency in Microsoft Office 365 suite of programs, including Excel
  • An equivalent combination of education and experience may also be considered
