Wages & Benefits

A Typical Day in the Life…

A typical day as COPAL’s Financial Controller provides an opportunity to ensure that all revenue and expenditures are accurately recorded and that COPAL meets all compliance and regulations. The responsibilities will include the following:

Financial Accounting Activities

  • Maintaining COPAL’s financial accounting system.
  • Preparing all monthly financial statements.
  • Managing accounts receivable and payable to ensure collections and payments, accuracy, timeliness, efficiency, and adherence to GAAP and organizational policies.
  • Monitoring and managing credit card activity and assisting the Office Manager with coding.
  • Assisting the Office Manager with questions or issues around AP or other areas as needed.
  • Monitoring daily bank activity and ensuring transfers are conducted between all three organizations maintained by COPAL.
  • Maintaining accurate hard copy and digital files for expenditure authorization, back-up documentation for reimbursements/checks, and bank deposits.
  • Analyzing operations to identify areas to reduce expenses and increase revenue.
  • Assisting Development personnel with financials for multiple funders’ reports.

State and County Contracts

  • Creating monthly or quarterly billings for all federal, state, and county contracts.
  • Monitoring and adapting to changing federal and state laws, contracts, and accounting practices, and implementing necessary changes to comply with organizational policies.
  • Monitoring expenditures against grant and contract budgets.
  • Auditing contracts as needed.
  • Reporting and responding according to all government deadlines.

Financials and Audits

  • Meeting at least weekly with the Executive Director to provide updates on the agency’s fiscal health, review financials, open tasks, etc. as needed.
  • Working with the outsourced CFO consultant to produce monthly financials and audit preparations.
  • Attending finance-related meetings with agency partners.
  • Generating funder-required financial reports.
  • Attending monthly board Finance committee meetings.

Payroll and Employee Resource Allocations

  • Managing all aspects of payroll hourly allocations and entry.
  • Working with the Executive Director and Office Manager to manage hourly billing projections.

Budget

  • In consultation with the Executive Director, preparing an annual operating budget (Revenue and Expenses) assisting with updates as needed for all entities.
  • Revising the annual operating budget at least mid-year of the fiscal year for adjustments based on actuals YTD and projected income and expenditures for the completion of the fiscal year.
  • Reviewing the budget planning process, internal controls, and fiscal management infrastructure and suggesting improvements to current methods.

Who You Are

  • You hold a bachelor’s degree in accounting.
  • You have 4 years of experience in a similar position with an annual budget of at least $750,000.
  • Previous non-profit auditing experience is preferred.
  • You have experience managing federal and state contracts.
  • You function equally well as a member of a team as independently.
  • You possess excellent communication and writing skills.
  • You are proficient in QuickBooks On-line; Bill.com familiarity is a plus.
  • You demonstrate strong time management and organizational skills.
  • You have the ability to present oneself in a highly professional manner.
  • You demonstrate a willingness to learn a variety of tasks.
  • You demonstrate an understanding of working with diverse groups of people with lower socioeconomic conditions.
  • You demonstrate skills in conflict management.
  • You are competent in MS Office: Word, Outlook, Excel, and PowerPoint.
  • You have a valid driver’s license, access to reliable transportation, and the ability to meet COPAL’s driving record requirements. Please note that if the license was not issued in the state of Minnesota, you have 60 days after becoming a Minnesota resident in which to apply for your Minnesota driver's license or permit (not applicable for new hires living out of state).
