- Coordinate the recruitment, scheduling, travel and admission of research study participants.
- Coordinate patient schedules with testers, nurses, physicians and clinical research coordinators.
- Act as primary point of contact for patients enrolled in the study.
- Coordinate the recruitment, scheduling, travel and admission of research study participants with clinical staff.
- Work with staff to coordinate new research patient screening appointments, procedures and imaging studies between protocol investigators and the outpatient clinic scheduling personnel.
- Coordinate scheduling, travel and lodging of subjects participating in studies.
- Update and maintain calendars and shared calendars for multiple staff members
- Maintain office records including office procurements and reimbursement procedures
- Work with staff on all facets of clinical studies including subject enrollment, scheduling outpatient appointments and inpatient admissions, travel arrangements, investigation consent, subject longitudinal monitoring, study data, sample collection and data entry
- Provide chart preparations for surgeries, admitting patients for post-op recovery, placing orders to request interpreters for returning patients
- Maintain the Reproductive Endocrinology calendar for all incoming and departing patients in order to coordinate clinic support, pre- and post-examinations, etc.
- Follow up on patient appointments by sending reminders
- Interact and maintain effective communication with Principal Investigator, other site personnel and research participants
- Maintain patient travel reports
- Acts as a liaison between participants, participant's relatives and staff members and communicates participant's questions, complaints, problems and concerns to appropriate staff members.
- Triage questions to appropriate personnel in the team as necessary
- Maintain ongoing relationships with patients, families, caregivers, medical care providers and various individuals on a continuous long-term basis.
- Respond to patient emails and phone calls; prioritize patient related issues into urgent, emergent and routine; triage the issues to the appropriate personnel in the team as necessary.
- Summarize the content of incoming materials, specially gathered information, or meetings to assist executive; coordinate the new information with background office sources; draw attention to important parts or conflicts.
- Explains policies and procedures to participants and refers them to appropriate staff.
- Respond to communications with research subjects; direct questions to appropriate team member.
- Compose correspondence requiring some understanding of technical matters within the program.
- Communicate all patient protocols to patients, within the context of eligibility criteria for specific protocol; obtain appropriate forms.
- Serve as Point of Contact for patients with questions about the protocol and triages the questions to appropriate staff.
- Collates, enters and maintains data collected on participants.
- Maintain clinical data in protocol databases.
- Set up and format spreadsheets to analyze information.
- Coordinate the printing and conversion of paper documents to electronic files.
- Promote safety and confidentiality of research participants.
- Coordinates new patient referrals by obtaining pertinent information and forwarding it for review.
- Refer prospective volunteers per study guidelines to the appropriate Institute contact person.
- Review incoming patient referrals and contact referring physician’s office if referral is incomplete.
- Communicate with appropriate staff about intake and materials and submission of materials for review.
- Mentors and trains staff on patient recruitment and coordination processes and procedures.

- Minimum of four (4) years of related experience. Health and Medical Administrative Services
- Associate’s degree in a related discipline
- Strong communications skills, both oral and written
- Microsoft Office Suite
