Company Overview: Our company, with over 20 years of successful operation in the construction field, is seeking an experienced Office Administrator to join our team. We pride ourselves on our commitment to excellence, integrity, and innovation.

Position Summary: As an Office Administrator, you will play a crucial role in ensuring the smooth functioning of our office operations. You’ll work closely with the Operations Manager and contribute to the overall efficiency and effectiveness of our company.

Responsibilities:

  • Bookkeeping: Maintain accurate financial records, including accounts payable (AP) and accounts receivable (AR). Process invoices, track expenses, and reconcile accounts. Monitor account balances regularly to ensure sufficient funds for daily operations. Process incoming payments (e.g., customer payments, sales revenue) by depositing checks or receiving electronic transfers. Make outgoing payments (e.g., vendor payments, payroll) through checks, online bill pay, or wire transfers.
  • Payroll Management: Collect and review weekly timesheets submitted by technicians, verify the accuracy of hours worked, overtime, and any other relevant details. Address discrepancies or missing information promptly. Maintain organized records of timesheets, approvals, and payroll related documents. Communicate with technicians regarding timesheet submission deadlines, corrections, and any payroll-related inquiries. 3 years of QuickBooks and payroll experience is required.
  • Contract Management: Thoroughly review contracts before presenting them to the owner for signature. Verify accuracy, completeness, and adherence to legal standards. Maintain organized records of all contracts, amendments, and related correspondence.
  • Collections: Regularly follow up with customers who have overdue payments via phone and email. Use polite and professional communication to remind them of their outstanding balance.
  • HR Functions: Assist the business operations manager with onboarding, offboarding, training, employee benefit administration, and other duties as assigned.
  • Autonomy and Independence: Thrive in an environment where you’ll have the autonomy to manage tasks independently. Your ability to work alone and make informed decisions will be essential.
  • Office Supplies and Inventory: Monitor office supplies, order replacements, and maintain inventory. Keep the office environment organized and functional.
  • Communication: Handle incoming and outgoing communications (emails, phone calls, etc.). Draft professional correspondence and memos.
  • Event Planning: Assist in organizing company events, workshops, and conferences. Coordinate logistics, invitations, and materials
  • Minimum 5 years of experience in office administration, preferably in the construction industry.
  • Proficiency in QuickBooks for payroll and financial management is required.

Job Type: Full-time

Pay: $24.00 - $27.00 per hour
