Confidential is Hiring a Project Administrative Assistant Near Greensboro, NC

We are looking for a dedicated individual who is detail oriented, organized, enjoys having their hands in multiple things at one time, and is a self-starter. If this is you, we would love to speak to you. Please send your resume and cover letter highlighting those things.

Below is a detailed list of responsibilities we are looking for someone to do in this position. We will review resumes/cover letters and begin setting up interviews soon.

Responsibilities

  • Project Setup
  • Contact client within 5 business days of receiving new projects from sales
  • Introduction, request site address and project schedule, project commencement and completion dates, and status of project
  • Review and highlight new project contracts for pertinent information
  • Site Access requirements
  • Safety requirements
  • Installation requirements
  • Upload approved submittal documents to SIM Pro along with other docs required
  • Save copies of relevant documents to correct Drive folder
  • Prepare and Send site access and safety documents to client
  • Ensure all projects have red/yellow folders with the appropriate information and documentation and are filed
  • Ensure all installation folders in Google drive are organized and in the appropriate folders
  • Ensure all site access, safety paperwork, drug testing letters and background check information requirements are completed and sent to the client per project requirements within 24-48 hours of request
  • Project Progress/Ongoing
  • Facilitate the Count, Order, Track, and Receive weekly material inventory based on schedule from IM
  • Track Work Order Progress for Installers(ORM’s, Highlighted drawing, Photos)
  • Project Closeout
  • Combine O&M manual documents (cover letter, table of contents, warranty, certification, drawings)
  • Start application for Master Label and LPI Certificate
  • Send client complete O&M manuals as needed
  • Send client electronic survey as needed
  • Archive red/yellow completed projects are removed from installation filing cabinet as needed and contain highlighted drawing and filled out completed project checklist.
  • Safety and Maintenance
  • Revise and maintain safety equipment logs as needed
  • Maintain rental equipment logs as needed
  • Monitor, and Maintain vehicle maintenance, and the logs as needed
  • Revise and maintain inspection logs as needed
  • Order new safety equipment for installers per Installation Manager request
  • Ensure all installation vehicles are registered and tagged in appropriate state as needed to include updated registration copies and insurance cards are in the vehicles
  • Ensure vehicles include photo binders, training binders, IM manual, LP codes, SDS logs, and First aid kits
  • Training and Safety
  • Ensure safety training certifications is up to date and/or provided for installers as needed
  • Ensure equipment operating certifications are up to date and or provided for installers as needed
  • Track safety trainings for installers and schedule and coordinate trainings with IM using safety training program and training matrix
  • Assist in coordinating safety training per the safety training program binder
  • Administrative
  • Process all general HR paperwork and send to home office
  • Review benefits enrollment info at 45-60 days with employees, collect documents from employees, and send to home office by specified deadline
  • Coordinate with IM on Installer time off requests and track accordingly on schedule
  • Review receipt reports and reconcile with installer receipts before uploading to receipt folder for home office each week
  • Collect and Track checklists for material checks, safety checks, and vehicle checks
  • Assist IM in pre-screening applicants for open positions
  • Complete Orientation training for new hires
  • Order new hire safety equipment, and uniforms
  • Assist with displaying Schedule from IM in designated areas around the office
  • Complete weekly jobs worked report
  • Coordinate phone repairs/replacements
  • Miscellaneous
  • Administrative functions for the office and installation department as needed
  • Order, distribute, and maintain office supplies, snacks, water/coffee, etc
  • Receive and send mail and packages; distributing to appropriate offices
  • Oversee cleanliness of office and ensure vendors are meeting requirements for cleaning
  • Create and update reports for installation managers
  • Ensure all MSDS, on-site photo books, code requirements are provided to each Crew Leader for each vehicle
  • Other duties as assigned

Pay: $17.00 - $19.00 per hour
