Congregation B'nai Zion is Hiring a Seasonal Administrative Assistant Near El Paso, TX

Job Summary:
We are seeking a detail-oriented Administrative Assistant to join our team temporarily. The ideal candidate will provide administrative support, handle office tasks, and assist in ensuring efficient operations within the organization, and interface with members and the public to deal with questions or issues that may arise.

Primary Duties:
Bookkeeping/Accounting duties

  • Tracking all credit card purchases to provide support when paying with credit card
  • Processing incoming bills, maintaining accounts payables files, and making reimbursement check requests for Treasurer to pay bills.
  • Process payments received (dues, program, donations, meals, etc.) and post to proper accounts in ShulCloud. Enter charges and place orders/payments for members wanting meals or signing up for events, and religious school transactions.
  • Prepare program revenue and expense reports.
  • Assist with budget reporting.

General office duties and administrative support

  • Create a positive and friendly environment by greeting and assisting all visitors in the synagogue
  • Dealing with email, incoming and outgoing mail, deliveries, and in-person inquiries to include processing new member applications, resignations, etc.
  • Order office supplies, cleaning and building supplies, food items, memorial plaques, etc.
  • Answer and direct incoming calls, providing accurate information and taking messages as necessary
  • Handle all lifecycle events with individualized acknowledgements (for donations, IHO’s, IMO’s, thank you) to be processed and mailed a week prior to event or daily when donation is requested by member
  • Help manage cemetery processes (sales of plots, funeral arrangements, unveilings, and managing cemetery maps).
  • Providing administrative support to Office Manager, tasks such as preparing expense reports/budget reports of all food programs and grants, assist with accumulating payroll timesheets from all employees for processing

Marketing and Communications

  • Assist in creating and designing publicity for synagogue programs (including book zone brochure, postcards, flyers, etc.), events, weekly/holiday meals, yizkor books, high holiday greeting card, etc.
  • Support communications of programs and events through eblasts and mailings (and possibly social media)
  • Assist with the preparation and distribution of weekly shabbat pamphlets and/or lobby posters and signage
  • Manage and maintain synagogue calendar.

Program coordination and support.

  • Provide logistical and administrative support for programs and events.
  • Coordinate with other staff to ensure that logistics are handled for programs and events.
  • Maintain a list of volunteers to coordinate food program deliveries weekly. Create food labels for purchase meals to place on delivery bags.

Other duties as necessary to ensure the smooth operation of the synagogue.

Requirements:

The minimum qualifications listed below are representative of the knowledge, skill, and ability necessary for an individual to perform each essential function satisfactorily. Reasonable amounts of training are provided.

  • High School diploma and at least three years of relevant experience.
  • Strong computer skills including Excel, Word, Canva, etc. and ability to utilize Shul Cloud program.
  • Ability to develop/design flyers and promotional materials.
  • Strong organizational skills to manage multiple priorities.
  • Strong verbal and written communication skills
  • Valid Driver License preferred.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, mailing and fax machines. At times it may require working in the kitchen to support meal programs.

While performing the duties of this job, the employee is regularly required to communicate. This position is very active and requires movement and computer operation throughout the day. The employee is required to remain in a stationary position for a large portion of the day. The employee must occasionally exert up to 20 pounds of force to move objects. The employee will need to have the ability to observe details both at close and far range.

Work Schedule:

Generally, a 40-hour week Monday through Friday. There may be times when extra hours will be required.

Pay: $12.00 - $14.00 per hour

Expected hours: 40 per week
