What are the responsibilities and job description for the Administrative Assistant position at Connections Personnel?

Connections Personnel is hiring for at temp hire Administrative Assistant for our client located in Mountainside. Looking for an outgoing individual to assist the President/Vice President.


SALARY: $55,000 - $60,000

Benefits:

  • HOURS: 8am-4pm

Responsibilities

  1. Write proposals.
  2. Send proposals.
  3. Follow up on proposals for Purchase Orders/customer questions.
  4. Order parts
  5. Follow up on parts quotes.
  6. If applicable, price-out parts for better pricing/delivery options
  7. Daily review of Service Tickets (spellcheck, correct, make sure complete)
  8. Send Service Tickets to Customers as needed.
  9. Follow up on employees to get Service Tickets as needed.
  10. Act as go-between Sales Team & Irving
  11. Call vendors to find parts.
  12. Make sure we have paperwork/certs lined up for a given job.
  13. Contact manufacturers for warrantee issues
  14. Assist/complete JHA’s
  15. Coordinates and oversees completion of special projects as needed.
  16. Schedule appointments and office meetings as needed.
  17. Ensure the efficient operation of all office equipment by performing minor service duties and arrange for routine and necessary maintenance as needed.
  18. Maintains the office supply inventory and orders additional supplies as needed.
  19. Troubleshoots and resolves all computer problems by communication with computer vendors.
  20. Performs other related duties as assigned.
  21. Maintains employee work/vacation schedules to ensure staffing needs are met in accordance with company policy and guidelines.
  22. Process all COI, W9, and contracts as requested by sales team.


Qualifications:

  • Associate degree
  • Dependable transportation
  • In-office work, non-remote


Skills:

  • Highly proficient in Microsoft Word, Excel, and Outlook. Gnant charts a plus
  • Types 75 words a minute
  • Excellent writing & verbal skills
  • Ability to prioritize in a high paced environment.
  • Highly organized
  • Excellent telephone skills, friendly voice, easy to understand and listen to
  • Not afraid to talk to customers, vendors, employees at any time.
  • Must be self-driven & highly motivated.
  • Assertive and energetic personality
  • Fluent in English – Spanish a plus
  • Ability to multi-task
  • Out of the box thinker who can make recommendations for ‘building a better mousetrap.’
  • Must return all phone calls and emails in timely fashion (w/in 24 hours)
  • Work as a team with office personnel
  • Must be flexible in building this position, willing to learn new skills.
  • Winning attitude, ability to multi-task, and detail oriented
  • Good mathematical skills
