Convergint is looking for a full-time, enthusiastic, results-driven, and forward-thinking Proposal Specialist to work closely with the Proposal Team to assist and qualify incoming requests for support from Convergint colleagues across Convergint Nation and support in Request for Proposal (RFP) Content creation and organization for the RFP Content Library. The Proposal Specialist is responsible for helping, setting up, tracking, and responding to the request as appropriate. As an Proposal Specialist, you are a part of a dynamic team that allows you to grow as Convergint grows.

What you’ll do with “Our Training and Your Experience”

  • Coordinate and support the preparation of RFx (Request For)/Pre-qualification requests, ensuring accurate tracking of documentation and milestones.
  • Coordinate and collaborate with Convergint Technology Centers (CTCs) colleagues to provide essential information, including documentation, write-ups, certifications, etc., for customer RFP/RFI/RFQ Pre-qualification responses.
  • Be the Proposal Team liaison by collaborating with various Convergint departments, such as Legal and IT, to comprehensively respond to requests.
  • Ensure all completed requests are 100% compliant, aligning with the Convergint Proposal Team Standard Operating Procedure (SOP), which includes standards such as Convergint OneVoice, Consistency, Formatting, etc., and meets the highest quality standards and deadlines.
  • Assist in the completion of compliance documentation and forms.
  • Assist the Proposal Coordinators in providing requested information for proposals to meet deadlines.
  • Coordinate with Proposal Team members to review, proof, and edit final requests adhering to Convergint style, grammar, practice, and branding requirements before submission to the Proposal Manager.
  • Work with Proposal Coordinators to complete the administrative proposal close-out activities, including electronic filing, resume updates, certifications, references, case studies, etc.
  • Work with the Proposal Coordinators and Proposal Manager to identify new content from submitted requests and proposals to update or add to the existing RFP Content Library.

  • Effective communication skills, both oral and written
  • Excellent time management and organizational skills with great attention to detail
Solid problem-solving abilities in a deadline-driven environment
Requirements
Education: High School/GED with some college or equivalent experience
Experience Requirements
  • At least 1-2 years of Proposal or Project Process Experience
  • RFP experience is a plus
  • Project/Proposal Coordination experience is a plus
  • InDesign experience is a plus
