Job Description:

As a receptionist at Conybeare Law Office, P.C., you will serve as the first point of contact for our clients, visitors, and telephone callers. You will play a crucial role in ensuring a positive and professional image of the firm while providing exceptional customer service. This position requires strong communication skills, attention to detail, and the ability to multitask effectively in a fast-paced legal environment.

Key Responsibilities:

1. Front Desk Management:

- Greet clients, visitors, and staff with a warm and professional demeanor.

- Manage the reception area, ensuring it is clean, organized, and well-presented.

- Answer, screen, and direct incoming phone calls to appropriate personnel.

- Maintain the receptionist schedule and handle appointment bookings.

2. Client Relations:

- Create a welcoming and hospitable environment for clients and visitors.

- Assist clients with inquiries, provide general information, and direct them to the appropriate attorney or department.

- Handle incoming and outgoing client correspondence, including mail and email.

3. Administrative Support:

- Perform various administrative tasks, including photocopying, faxing, and filing legal documents.

- Assist with scheduling appointments, meetings, and conference room reservations.

- Coordinate with office staff to ensure efficient document flow and client service.

4. Communication:

- Maintain a professional and polished appearance and demeanor at all times.

- Relay messages and important information accurately and promptly to staff members.

- Handle confidential information with the utmost discretion and integrity.

5. Technology Proficiency:

- Utilize office software, such as Microsoft Office Suite, to create and manage documents, spreadsheets, and emails.

- Operate office equipment, including multi-line phone systems and multifunction (print/copy/scan) machines.

Qualifications:

- High school diploma or equivalent (Associate's degree or higher is a plus).

- Previous experience in a receptionist or administrative role, preferably in a law firm or professional office setting.

- Excellent interpersonal and communication skills, both verbal and written.

- Proficiency in Microsoft Office Suite and general computer literacy.

- Strong organizational skills and the ability to prioritize tasks effectively.

- Attention to detail and a commitment to maintaining a professional appearance.

- Ability to handle sensitive and confidential information with discretion.

- A positive attitude, strong work ethic, and a willingness to learn and adapt.
