Position OverviewThe Part-Time Administrative Assistant will play a vital role in ensuring the smooth operation of our office by providing comprehensive administrative support. The ideal candidate will collaborate with various departments, handle multiple tasks efficiently, and uphold our commitment to a clean and organized work environment. This role is essential in enhancing office culture and maintaining a welcoming atmosphere for all team members and visitors. Tentative hours will be Monday-Friday 12 PM - 4 PM CST or 1 PM - 5 PM CST. What You Will Do
Promote a positive office culture and experience
Welcome and assist visitors, ensuring a positive first-impression
Refresh and maintain conference rooms, ensuring they are ready for meetings
Restock supplies, set up and take down for meetings, and host/serve drinks as needed
Act as an additional contact on the day of social events, managing logistics and attendee needs
Maintain a safe, organized, and efficient workplace
Put away groceries and restock coffee machines, ensuring supplies are organized and accessible
Assemble and package swag requests in collaboration with the team, including labeling and restocking
Conduct regular wipe downs, restock toilet paper, and clean sinks for office restrooms
Pull trash, wipe counters, clean up after lunches and manage dish allocation for office kitchens
Put away swag gear and restock supply closets when shipments arrive
Sort incoming mail, filtering out junk mail and no solicitation items
Provide workplace support as a member of the Office Management Team, ensuring continuity of administrative operations
Offer notary public services, handling all related documentation and procedures
Manage shipping tasks, including UPS shipments, courier services and regular mail
Work with IT on printer maintenance, including toner replacement and paper restocking
Promote and manage recycling initiatives in the office, planning for future programs
Coordinate and set up/take down for catered lunches, ensuring smooth execution of events
Assist with a variety of holiday gift initiatives (clients, team members, kids, local charities, etc.)
Handle out-of-office errands, such as trips to FedEx, the Post Office, T-Shirt Deli, Juice Rx and more
Perform all other duties and tasks as assigned
Ideally, you'll have
High school diploma or equivalent required
2 years of previous experience in an administrative or office support role
Notary public certification or willingness to obtain certification
Familiarity with office equipment and basic troubleshooting (printers, copiers, etc.)
Strong organizational and multitasking skills
Excellent verbal and written communication skills
Attention to detail and accuracy in performing tasks
Ability to maintain confidentiality and handle sensitive information discreetly
Must be able to complete all physical requirements of this role, including lifting up to 40 lbs, with or without a reasonable accommodation
You'll Crush It If You Have Experience With
Strong problem-solving skills and the ability to troubleshoot minor issues
Exceptional customer service skills, with a friendly and professional demeanor
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or Google Suite (Gmail, Sheets, Google Calendar) or other relevant software
Basic knowledge of recycling practices and sustainability initiatives
Flexibility to handle unexpected tasks and errands as needed
