FRONT OFFICE TRAINING MANAGER

POSITION SUMMARY: (Must be able to travel to all Cornerstone Care locations)

Responsible for initial training of the Electronic Practice Management System and various billing functions for new hires and conducts ongoing front office competency education and verification to ensure policy, procedure, and workflow compliance.Develops and maintains training guides and resources for front office best practices and ensures optimal patient engagement and patient relations at the front desk. Must possess a thorough understanding of department specific payors such as Medicaid, Medicare, Medicaid Managed Care, and Commercial plans, and conduct training on benefits, eligibility, patient payment options, and timely claims submission processes. Must possess leadership skills, critical thinking skills, and proficiency with electronic systems to ensure all functionality is utilized for efficient collections. 

JOB DUTIES AND RESPONSIBILITIES:

  • Understands and stays informed of the latest billing guidelines for Medicare, Medicaid, MCOs, commercial insurances, and self-pay 
  • Displays excellent training skills and a track record of meeting goals and deadlines 
  • Promotes effective working relationships, works efficiently, and maximizes team morale and its ability to meet goals and objectives 
  • Develops, monitors, and ensures new office staff meet initial competencies during a defined post hire period. Communicates with offices about progress towards new hire goals 
  • Monitors unpaid claims and ensure they are being followed up in a timely manner for training and quality improvement purposes 
  • Generates daily, weekly, monthly reports to ensure compliance in all areas of responsibility 
  • Trains on sliding fee eligibility and application processes and monitors for compliance 
  • Participates in direct training and mentoring of staff in administrative and clinical tasks in the office both in a classroom setting as well as in the office setting 
  • Maintains records and tracking of staff competencies 
  • Develops and maintains training and resources guides based on the most up to date versions of utilized systems and insurance regulations 
  • Trains on front desk functions such as, phone etiquette, scheduling, AIDET, check in and check out processes, etc. 
  • Trains on eligibility and benefit levels for various insurances 
  • Acts as a Super User for the Electronic Practice Manager (EPM) and other interfacing systems 
  • Conducts orientation for new hires 
  • Conducts regular audits on required data elements of patient charts
  • Trains on various patient payment options to decrease collections through financial counseling opportunities
  • Trains on patient triage and de-escalation techniques 
  • Trains on strategic scheduling to maximize provider productivity

  • Must be able to effectively problem solve and develop corrective action plans 
  • Assists in the testing and implementation of system updates of existing and new programs 
  • Serves as a resource to provide training to improve staff performance issues, as needed
  • Must meet with and represent Cornerstone Care outside stakeholders especially with payors
  • Must be proficient is all workplace computer applications

MINIMUM REQUIREMENTS:

  • Front office training and collections experience, strongly preferred
  • Ability to travel to all locations, as required as well as out of town conferences
  • Must have platform and one-on-one training skills
  • Must have good time management skills and the ability to work independently
