Cosmetic Physician Partners has established a chain of medical aesthetic clinics throughout the United States. We are currently seeking a Part-Time Front Desk Receptionist for a highly recognized and sought-after MedSpa located in Des Moines, IA, The reception position requires someone who is kind, caring and passionate about aesthetics and customer service. This person will accel if they enjoy working with guests in person, on the phone and via email to meet all of their scheduling, payment and general needs. It is imperative that this person be dedicated to proving effective communication between guest and provider to help the clinic run efficiently. WORK SCHEDULE: 24 hours/week with a 30-minute break each shift.
Monday & Tuesday 11:30-6pm
Thursday & Friday 10:30-5:00pm
Rotating 1 Saturday/month 9:00-4:00
QUALIFICATIONS:
At least 2 years experience in a similar capacity involving direct communications with the public and/or clients, preferably in a retail or hospitality setting
High school graduate required
Computer/phone/typing experience required
Trustworthy and responsible
Excellent telephone etiquette and communication skills
Warm, enthusiastic, and hospitable personal manner
Outstanding listening skills and ability to empathize with others
Good organizational skills and detail orientation
Confidence and experience in dealing with client relations and complaints
Appropriate sense of discretion in dealing with varied and difficult situations
Ability to convey a positive attitude in all dealing with others, whether clients or staff members
KEY RESPONSIBILITIES:
Warmly greet and assist clients with check-in, billing, and check-out process
Provide and verify all paperwork is completed by client
Explain specific spa treatments and services and advise clients in choosing the best services for them based on their needs and interests
Accurately book, change and cancel spa appointments
Assist and educate clients with spa retail purchases
Possess a thorough sales knowledge of all spa and clinic services, rates and retail product costs
Assist spa guests by giving guests their towel wrap, robe and sandals and get them settled in the locker room; explain and tour amenities
Maintain a thorough knowledge of general facility programs and services, and be able to explain them to clients
Make reminder phone calls to clients about their appointments
Escort clients to appropriate locations or services
Assist clients with special requests and provide hospitality services as directed, such as water, tea service, etc
Maintain control of point-of-sale area and follow established guidelines for payment/sale process
Accurately promote and provide detailed descriptions of retail products, sales and special promotions
ADDITIONAL RESPONSIBILITES:
Follow-up on product sales recommendations by aestheticians and therapists and sell retail products to interested clients at reception desk
Maintain inventory of brochure material in client areas as necessary
Maintain retail inventory in retail area as necessary
Maintain orderliness and cleanliness of retail area
Keep Spa Reception Desk and lobby reception areas immaculate
Attend staff meetings as requested by the Spa Manager
Be flexible with your schedule, supporting the needs of the clinic and spa
Protect the privacy of all clients and handle with discretion any information they may provide to the spa
Maintain a presence of calm composure, even in the most stressful situations
Be ready to assist any staff member or client who needs help in a genuinely friendly manner
Alert Desk Supervisor or Spa Manager to potential problems or concerns
Work diligently to support the Coachlight Clinic & Spa hospitality and team philosophy throughout the facility
Comply with all departmental and company policies including HIPAA
Maintain confidentiality of all Coachlight Clinic & Spa proprietary information
Resolve client complaints in a manner which promotes positive client relations
Maintains proper office opening and closing procedures (if requested)
