Billing Operations Analysts oversee the accuracy of all monthly infrastructure and network accounts to ensure they are paid and managed in an effective, efficient and timely manner. They verify and monitor accounts, provision and disconnect services, authenticate invoices and dispute charges, and work with accounting. Billing Operations Analysts work closely with our vendors, carriers, warehouses and internal IT teams to research issues and discrepancies. They analyze current and past budgets, prepare and justify budget requests, and allocate expenses to the proper accounts. Billing Operations Analysts are focused on network and infrastructure bill management which includes billing review, allocation, processing, payment tracking, researching discrepancies, and working with vendors for credits owed.

ROLE

Reconciles, supports, and processes statements of work, exhibits, amendments, addendums, etc. for new devices or contracts.

Records and allocates charges to the appropriate location and department.

Creates budgeting worksheets, and prepares monthly and annual executive summaries of charges for Management.

Evaluates and monitors contracts to ensure vendors comply with business needs and all contractual terms and conditions.

Automates scripts for billing operations, billing configurations, and billing applications.

Prepares/Processes invoices and required PO's.

Analyzes monthly billing details for discrepancies.

Monitors billing accounts for outstanding and questionable charges.

Investigates and explains charges for unconsolidated bills.

Verifies accuracy with appropriate IT Stakeholders.

Identifies and resolves problems often anticipating issues before they occur or before they grow; develops and evaluates options and implements solutions.

Identifies opportunities for streamlining and increasing effectiveness through continuous process improvement.

Investigates and solves all account issues for infrastructure network accounts for wireless, fiber, satellite, data, and telecom.

Utilizes and maintains Costco systems, the MTS System, and Costco tools daily to manage and execute the work.

Meets daily with the vendor providers of these network services, accounts, and connections.

Responds and resolves network account assignments: moves, adds, changes, and disconnects.

Resolves and adds new services while terminating other services.

Validates that costs assigned to each service is in compliance with contracts, projects, and statements of work.

Works with Networking and Telecom and other Infrastructure stakeholders to resolve issues and determine projects’ status of all ongoing work, upgrades, and new warehouse services, and scheduled terminations.

Issues problem tickets with vendors to solve disputes for start dates, end dates, transfer dates, of charges for services, or overcharges for services; consistently follows up.

Manages and tracks cost savings by actively pursuing credits and applying credits for the correct accounts, with all service vendors, correcting service fee errors and disputing late fees for mis-applied funds by vendor or vendors’ failure to post payments on time.

Validates and verifies all necessary documentation and engages with all appropriate parties to investigate and resolve issues.

Ensures a clear understanding of the issues, tasks assigned with the ability to resolve issues on time each month.

Ensures and follows up on any requests or inquiries in a timely fashion, meeting or exceeding customer expectations.

Follows up often with suppliers, service providers, and customers, anticipating issues before they occur, and evaluates options for resolution and implements solutions.

Provides status to management and escalates issues to management in a timely manner.

Follows up with Accounts Payable to monitor timely monthly payment processing for all accounts.

Stays in compliance with all Costco policies and procedures.

REQUIRED

2-5 years’ working knowledge of telecom, networking service providers, carriers or infrastructure systems.

2-5 years’ working knowledge of contracts, cost management, and general accounting practices.

Proficient in the use of spreadsheets, word processing tools, communication tools, and meeting management.

Positive attitude; ability to work independently, self-motivated.

Previous experience successfully managing multiple suppliers, problems, projects, and tasks at a high volume.

Previous experience demonstrating ability to track and evaluate status of multiple problems, projects, issues, and tasks.

Demonstrated efficiencies in problem-solving, critical thinking, and effective research; ability to resolve issues.

Strong attention to detail, with the ability to work under very tight timelines.

Proven strong verbal and written communication skills, with the ability to adjust communication to a particular situation and to all levels of senior management, management, employees, and outside suppliers.

History of providing superior customer service over the phone, email, in video meetings, in person, and to management.

Able to work well in pressure situations with tight deadlines, while collaborating with peers and IT team interaction.

Flexible, adaptable to changes; experience in a fast-pace, high volume work environment; excellent organizational skills.

Willingness to take direction and coaching.

Recommended

2- 5 years’ previous experience with infrastructure or network service providers: Telecom, Wireless, Fiber, Satellite, Data.

2- 5 years’ previous analysis experience in supplier cost management and billing analysis associated with provider contracts.

2- 5 years’ Financial Accounting experience.

Previous contract compliance experience for network services or similar IT services.

Demonstrated success in managing many issues, tickets, and problems monthly and resolving in a timely basis.

Demonstrated experience working with many different stakeholders and multiple levels of management.

Excels at developing, investigating, and solving data and account issues with financial analysis.

Previous knowledge and skills associated with supplier management in contract management, technical services.

Knowledge and experience with ERP financial systems and other IT system tools.

Pay Range: $38.46 - $50.48
