Organization Overview:

Counseling and Forensic Services Inc (CFS) formed in 2001 to serve youth and adults. Our specialty includes working with court-ordered youth and adults in need of anger management, substance abuse, sex offender treatment, individuals, families, and couples in need of intensive and solution-focused therapy. Our practitioners are licensed with specialties in Cognitive Behavioral Therapy (CBT), Dialectical Behavioral Therapy (DBT) and certified in Trauma Based Therapy.

CFS offers assessments and psychological evaluations for adults and children. Our goal is to offer professional and respectful therapy for all clients, working toward a goal to complete the required courses in order to move on with life.

Summary:

The Bi-lingual Receptionist/Administrative Assistant is a key role in the organization. This position is often the first point of contact for new clients in person, or on the phone. The Bi-lingual Receptionist/Administrative Assistant must be professional, diplomatic, detail-oriented, and have good follow-through. The main responsibilities are to schedule appointments, check patients in and take payments for visits. In addition, this role responds to internal and external customer inquiries and complaints, creates patient files, and assists in investigating health insurance claims.

This role requires excellent judgment, the ability to work across all levels and departments of the organization, and the ability to make recommendations on complex matters.

Duties/Responsibilities:

  • Greet clients in person and over the phone.
  • Take payments and answer questions.
  • Send clients paperwork, verify receipt, review for accuracy and ensure completeness.
  • Verify insurance benefits, explain benefits to clients, and enter them into Simple Practice.
  • Schedule client appointments.
  • Transfer phone calls to the appropriate person or take messages.
  • Call clients for non-payment or when there are problems with insurance (ex. Policy termination).
  • Create and maintain client files.
  • Communicate any building issues to the supervisor and or CEO and work with building management to get them resolved.
  • Advise the supervisor of any supply shortages.
  • Provide administrative support to therapists, supervisor, and CEO e.g. send faxes and emails.
  • Reserve office space for therapists.
  • Provide coverage for other office staff when needed.
  • Other duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • At least two years related experience required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Strong analytical and problem-solving skills.
  • Ability to prioritize tasks and manage multiple deadlines.
  • Ability to function well as an individual contributor and team member.
  • Proficient with Microsoft Office Suite or related software.
  • Preference for Spanish language skills.

Physical Requirements:

Must be able to lift up to 25 pounds at times.

Prolonged periods of sitting at a desk and working on a computer.

Pay Rate: $18 per hour

Work Environment:

This position will be performed on-site. The in-office work environment is typical of an office setting. The noise level is usually quiet.
