Position Title: External Affairs Events Manager

FLSA Classification: Full-Time; Exempt

The Country Music Hall of Fame® and Museum External Affairs Division

Company Overview: Located in the heart of downtown Nashville, the Country Music Hall of Fame® and Museum documents and interprets the history of country music—a musical genre and culture central to the identity of the city, the state, and the nation. Accredited by the American Alliance of Museums, the museum proudly combines subject expertise, ambitious research, and preservation of an unparalleled collection with expressions of creativity in music, art, and history. The museum collects artifacts that illustrate the evolving history and traditions of country music and provides diverse learning opportunities through educational programs, publications, and exhibitions. The core exhibit follows the story of country music from its folk beginnings through its evolution as a commercial art form. Rotating exhibits examine a broad range of topics, from country classics to contemporary and emerging artists in American Currents. The museum owns Hatch Show Print, a letterpress print shop opened in 1879, and it operates Historic RCA Studio B, where Elvis Presley and many others recorded.

External Affairs Department Overview: The External Affairs department oversees divisional operations and organization of Development, Education, Public Programs, Marketing, and Public Relation departments.

Job Overview: The External Affairs Events Manager supports the planning and implementation of an annual calendar of 30 museum internal special events. This position reports to the Director of External Affairs Events and Administration.

Specific Job Duties: 

  • Plan and implement stewardship and cultivation events including museum member receptions, donor meetings, and other special events.
  • Support the administration of recurring major events including exhibit opening receptions, All for the Hall fundraisers, and Medallion Ceremony induction to the Country Music Hall of Fame.
  • Event planning and support duties include:
  • Reserving internal event space.
  • Managing invitation and RSVP lists.
  • Overseeing event schedule/run-of-show creation and maintenance.
  • Facilitating VIP (artists, donors, other key audiences) care and communication in coordination with their event participation and attendance.
  • Coordinating interdepartmental event elements with supporting departments including Event Services and Catering, Public Relations, Education, Marketing, and Creative.
  • Organizing and directing event staff and volunteers.
  • Creating and reconciling of event budgets.
  • Coordinating travel. 
  • Utilize the Tessitura database to track and maintain event and donor contacts, activity, finances, and planning steps.
  • Support External Affairs and Development administration, including:
  • Annual divisional calendaring, budgeting, and planning process.
  • Budget and expense input and reconciliation.

Requirements

Minimum Requirements:

  • Minimum of three years event planning experience
  • Must have availability after-hours, and occasionally weekends, to support events

Key Qualifications (Knowledge, Skills & Abilities):

  • Development and nonprofit management experience
  • Familiarity of country music and music industry leadership
  • Organized, detail-oriented, and able to handle sensitive information with confidentiality
  • Ability to work proactively as team member in fast-paced, high-volume environments
  • Experience with Tessitura or comparable constituent relationship management technology
  • Possesses excellent communication and interpersonal skills and able to work well with and interact with a broad spectrum of personalities and diverse populations
  • Bachelor’s degree in a related field preferred
