Job Summary:
We are seeking a detail-oriented and organized individual to join our team as an Accounts Payable Specialist. The primary responsibility of this role will be to ensure accurate and timely processing of accounts payable transactions, including 3-way matching, posting invoices to proper GL Accounts, reconciling vendor statements, and maintaining a well-organized filing system. The Accounts Payable Specialist will also assist with processing bi-weekly check runs, posting credit card and ACH payments, and supporting various additional tasks as needed.
Responsibilities:
- Perform 3-way matching to ensure accuracy and validity of invoices, purchase orders, and receiving documents.
- Post invoices and payment transactions to the appropriate General Ledger (GL) Accounts, ensuring proper classification and accuracy.
- Reconcile vendor statements to identify and resolve any discrepancies or outstanding issues.
- Establish and maintain an efficient and organized filing system for all accounts payable documentation.
- Process bi-weekly check runs in a timely manner, ensuring adherence to payment schedules and accuracy of payment amounts.
- Handle the posting and reconciliation of credit card and ACH payments accurately.
- Collaborate with the finance team and other departments to resolve invoice-related inquiries and issues.
- Assist with month-end and year-end closing processes related to accounts payable.
- Support additional tasks and projects as assigned by the supervisor or management.
Requirements:
- High school diploma or equivalent; associate or bachelor's degree in accounting or related field is a plus.
- Proven experience as an accounts payable clerk or specialist, with a strong understanding of 3-way matching principles.
- Proficiency in using accounting software and ERP systems for accounts payable processing.
- Strong analytical skills and attention to detail to accurately process and review invoices and payments.
- Excellent organizational and time management abilities to meet payment deadlines and maintain an efficient filing system.
- Knowledge of basic accounting principles and GL coding.
- Ability to communicate effectively and professionally with vendors, colleagues, and other stakeholders.
- Prioritization skills to handle multiple tasks efficiently.
- Team player with a positive attitude and willingness to adapt to changing priorities.
- Flexibility to work part-time initially, with the potential for transitioning to a full-time role based on performance and business needs.
Salary:
The Accounts Payable Specialist position offers a competitive hourly wage ranging from $22 to $24 per hour, commensurate with experience and qualifications. Benefits and opportunities for professional growth may be available upon transition to a full-time role.
