Position Announcement

Administrative Specialist III – Supervisor of Assessments Office

Starting Hourly Rate: $19.66/hr

Position Status: Full time

Position Schedule: Monday – Friday; 8:00 AM – 4:30 PM

Position Summary

Under administrative supervision, performs a variety of responsible tasks involved in providing support to real property taxpayers. Duties include, but are not limited to, interaction with the public either by telephone, in-person, or by email; analyze and process property tax exemption applications including verifying data, and ascertaining eligibility; data entry; filing, scanning, and photocopying documents; review and code transfer declarations; review parcel legal descriptions and make recommendations for parcel splits and combinations; other duties as assigned. May be required to travel and work outside in varying types of weather. Work is performed according to federal and state laws, county policies and procedures, and Supervisor of Assessment’s office procedures. Work is reviewed by a supervisor periodically for the quality, efficiency, and effectiveness of work performed.

Essential Duties and Responsibilities

  • Interact with public, including taxpayers, title companies, attorneys, and others in person, by telephone, or by e-mail
  • Review, analyze and process homestead exemption applications
  • Review, analyze and process real estate transfer declarations
  • Review legal descriptions of recorded documents and make recommendations for parcel splits
  • Process requests for assessment information
  • Resolve typical appeals or complaints
  • Data Entry
  • Filing, scanning, and photocopying documents
  • Perform related work, as assigned
  • Regular and prompt attendance

Knowledge, Skills, and Abilities

  • Knowledge of English composition, spelling, and grammar
  • Ability to understand and follow oral and written instructions
  • Ability to communicate effectively, both orally and in writing
  • Ability to interact with the public and provide information in a polite and efficient manner, both in person and by telephone
  • Ability to research, analyze, and assess issues and problems related to property tax assessments and exemptions
  • Ability to learn rules and procedures and to apply them correctly in varying circumstances
  • Ability to work with and maintain confidential information
  • Ability to multi-task
  • Knowledge of and experience with MS Office (Microsoft Word, Excel, Outlook, and Teams)
  • Ability to learn applications and software specific to property assessment
  • Ability to operate a motor vehicle

Required Qualifications

  • High school graduate, or possession of a GED Certificate, including or supplemented with course work in general clerical or office procedures
  • Experience (1 -2 years) in a general clerical and/or customer service work related to the functions of the position
  • OR any equivalent combination of education and experience that would provide the above noted knowledge, skills, and abilities. Proficiency in MS Office.
  • Valid Illinois Driver’s License

The successful candidate must be able to work well with a variety of individuals; have exceptional organizations skills; be detailed oriented; be capable of working independently and meeting deadlines; be self-motivated; able to work with confidential information in an environment of security and trust.

Preferred Qualifications

  • College coursework related to assessment, appraisal, or GIS
  • Ability to comprehend and write legal descriptions for real estate parcels
  • Certified Illinois Assessing Official accreditation (or obtain within one year of employment)

Physical Attributes/Demands

The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and possess close visual acuity. Requires the ability to drive a car.

Work Environment

Work is performed in a relatively safe and secure work environment. Some travel and work in varying types of weather may be required.
