Creating Pathways has been providing quality pediatric therapy to children in the Willamette Valley for 10 years! Recently recognized as one of the “Best in the Willamette Valley” in the specialty therapy category. We are a therapist owned company that is passionate about providing quality Speech and Occupational Therapy to children ages birth to 18 years.

Job Description

The Front Desk Receptionist is an integral part of the Creating Pathways team and supports our Salem clinic location. This position is an on-site (non-remote), full-time administrative position. This position requires strong interpersonal and organizational skills to aid patients and clinical staff in greeting and scheduling patients as well as taking and delegating phone calls. We are needing an excellent communicator who is skilled at multi-tasking in a fast-paced clinical setting and enjoys constant contact with children, families, and clinical professionals.

Essential Functions

  • Provide excellent customer service to patients, families, and community members through clear communication, a positive attitude, and respectful demeanor.
  • Answer phone calls with a smile and correct phone etiquette, including accurate and timely documentation in an electronic health record (EHR).
  • Scheduling/rescheduling weekly appointments for patients
  • Manage treatment schedules for multiple providers
  • Appropriately process patient co-pays and statement payments
  • Check patients in and out for their scheduled appointments.
  • Ensures the patient waiting area and office is clean and presentable, including monitoring ordering supplies as needed.
  • Perform other clerical duties such as filing, photocopying, transcribing, faxing and other duties as requested.
  • Post insurance and patient payments promptly.
  • Other duties as assigned.

The Front Desk Receptionist makes decisions daily that strongly impact the company’s operations, reputation, and/or clients’ satisfaction. The Front Desk Receptionist rarely makes independent decisions and performs work under moderate supervision.

Knowledge and Skills

  • Experience scheduling in a electronic medial record platform preferred
  • Knowledge and compliance with company policies and procedures and helps hold others including staff and patient/families accountable.
  • Ability to motivate, influence, and create a happy and welcoming environment that supports patient and employee satisfaction.
  • Organizing, planning, and problem-solving skills including proactive attitude and ability to go above and beyond to assure productive outcomes in all situations.
  • Telephone skills, Typing (45wpm ), Word-processing, and Spreadsheet Skills including ability to use Microsoft Office Platforms efficiently (Word, Outlook, TEAMS).
  • High School Diploma, Certificate program, Associate or Bachelors Degree.
  • Strong customer service skills and experience, with ability to handle pressure or demanding client requests efficiently.
  • Ability to work in a positive manner with children of all ages and special needs.
  • Ability to communicate clearly, professionally, and courteously. Ability to read, understand, and follow oral and written instruction.
  • Ability to work in a fast-paced environment, and exude flexibility with changes in schedule or competing demands.
  • Must be detail-oriented and have the ability to prioritize a variety of tasks.
  • Possess a helpful nature, excellent organization skills, and dedication to best practices and patient satisfaction.
  • Monitoring/Assessing performance of yourself and other individuals to make improvements or take corrective action.
  • Ability to manage conflict, having emotional intelligence and handling billing inquiries with a problem solving approach
